Position Summary

OWNCS 1 Elementary and Middle School, located in Astoria, Queens, is seeking a dynamic candidate for its Operations Manager position who will bring a passion for the mission of OWNCS, an understanding and respect for the culture of all members of the school community, and a desire for working in a school setting that fosters a love for children.

DUTIES, ROLES, :& RESPONSIBILITIES

Systems Development and Documentation

  • Develop and implement school-wide non-instructional systems, procedures and protocols that ensure operational excellence within the school. Systems include but are not limited to: Transportation, BRT/Safety,  SchoolFood meal program, procurement, building compliance, staff & parent operational handbooks, field trips procedures, cash receipts & deposits, school-wide initiatives, etc

  • Manage binders and documentation - Instructional manuals/warranties, building contracts/licenses, permits, expenses, purchase orders, BRT, RFP/Bid proposals, field trips, repairs, cash receipts/deposits

    Compliance and Building Security

  • Open ES and MS buildings by 6:30am. Start up lighting and AC/Heating systems and walkthrough nightly cleaning checklist

  • Ensure that all fire, life and safety regulations and procedures are implemented, ensuring the well being of all OWN1 school staff and students

  • Develop and implement yearly school safety plan in collaboration with Principals. Coordinate and execute disaster preparation and safety drills. Record and modify safety drills, coordinate CPR/AED licensing process

  • Oversee security personnel, access cards, building keys and security cameras

  • Secure and manage permits and city services for the school. DOH, Sanitation, Parks etc.

  • School Nurse - ensure that a nurse is present for field trips or parent is assigned to administer medications 

    School Facility Maintenance

  • Maintain building and property in good condition and in compliance with all building codes, local, state and federal requirements and agency

  • Coordinate with contractors and/or building management for maintenance, repairs or installations that cannot be remedied by onsite maintenance staff. Ie. electrical, elevators, plumbing, HVAC, security systems, locksmith, carpentry, extermination etc.

  • Lead custodial cleaning efforts in all buildings or as assigned by the CEO

    Daily School Operations

  • Manage the daily and timely execution of the SchoolFood Meal program. Submit daily numbers to OFNS and communicate food service changes

  • Ensure that the building is secure - Alarms activated, halls clear, and handle security issues as they arise 

  • Direct custodial staff and delegate cleaning or handyman tasks to ensure that the facility is well maintained. Review priorities on a daily basis and communicate issues or future requirements

  • Manage school’s inventory process (administrative, instructional and facility), incoming/outgoing mail and packaging receipts

  • School Sustainability coordinator - Green team leader, classroom/office and lunchroom recycling, conserving energy.

  • Support Principals and Secretaries with daily staff scheduling modifications

  • Other projects as assigned by the Principals

    Business

  • Support the development, management, and maintenance of the procurement lifecycle, including but not limited to: vendor selection, vendor maintenance, price negotiation, account creation, purchase order management, materials requisitioning and receiving, inventory management. Communicate with the business office regarding invoice reconciliation and payment

  • Coordinate staff requests, special building needs and reordering building supplies

  • Create RFP’s and obtain multiple bids for high expenditure items or projects

  • With the support of OWNCS Business Office, maintain and utilize the school's financial management systems (Sage & FAMIS)

  • Monthly operational expense review and invoice submission - Security, IT, custodial etc.

  • Coordinate with consulting staff hired by the school

    Information Technology

  •  Oversee OWN1  Asset inventory - student/staff laptops, smart panels, phones, copiers/printers, audio equipment etc.

  • Work with technology team on infrastructure needs

    Management

  • Direct and manage contracted operational staff. Includes:Security officers, custodial team, building maintenance staff, SchoolFood team and Mindshift On site support.

  • Create a culture of service and support to assist in the development of all team members.

  • Ensure staff members understand operational procedures and have the resources to operate effectively.

    School Culture & Events 

  • Communicate respectfully and thoughtfully with parents/guardians and staff, remaining sensitive to different families’ cultures, values and needs.

  • Coordinate work and collaborate with OWNCS partners such as afterschool programs, Smile NYC etc.

  • Support with curating photos and checking permissions for social media

  • Work with the Principals to implement the school’s mission

  • Support with the coordination of school-wide events - planning, logistics, room set-up, procure special items, scheduling, execution

  • Support in the coordination, planning and execution of family engagement events such as summer events, back to school nights, parent information sessions, school tours etc.

  • Support the PTO with execution of their events and initiatives and serve as the operational liaison on the  PTO committee.

  • Support Director of External Relations with any marketing or recruitment initiatives.

  • Partner and collaborate with OWN 2 and 3 team members on various projects to promote continuity among our schools.

    Compensation and Benefits Program

    Salary Ranges from $80,000 to $90,000 based on experience, education, and certifications
