Robert Half Executive Assistant in Atlanta, Georgia

Description We are in search of an Executive Assistant to join our team. Based in Atlanta, Georgia, this role involves supporting high-level executives in a fast-paced environment. As an Executive Assistant, you will be expected to manage complex schedules, coordinate meetings, handle logistics, and maintain confidentiality. This position offers a contract to permanent employment opportunity.

Responsibilities:

• Manage and prioritize a complex calendar for the CEO, ensuring smooth day-to-day engagements.

• Liaise and provide support to the CEO by organizing, scheduling, and preparing materials for meetings and events.

• Act as the first point of contact for internal and external stakeholders on matters related to the CEO, handling confidential and critical issues with discretion.

• Keep the CEO informed of upcoming commitments and responsibilities, and follow up as needed.

• Manage travel arrangements, including flights, accommodation, and itineraries, ensuring all details are accurately reflected in the CEO's schedule.

• Coordinate Executive Team meetings and assist with staff meetings and events as required.

• Oversee office services, including selecting vendors, purchasing necessary equipment and supplies, and maintaining office policies and procedures.

• Ensure the office environment is welcoming and well-stocked, including replenishing snacks and office supplies.

• Screen and route email correspondence, mail, and phone calls, responding to inquiries as appropriate.

• Process and distribute daily mail and take on other duties as assigned. Requirements • Prior experience as an Executive Assistant or similar administrative role

• Proficiency in ADP - Financial Services

• Familiarity with Cisco Webex Meetings for coordinating online meetings and webinars

• Experience with Concur for travel and expense management

• Proficiency in using CRM software for maintaining and managing client relationships

• Familiarity with Kronos Timekeeping System for managing time and attendance

• Experience with About Time for mobile resource management

• Excellent calendar management skills, with the ability to coordinate executive schedules

• Strong communication skills, both written and verbal

• Experience in handling conference calls and correspondence professionally and efficiently.
