Newell Brands Executive Assistant in Atlanta, Georgia

Newell Brands is seeking a highly organized and proactive Executive Assistant to support three VP/SVP executives based in Atlanta, GA. This multifaceted role combines traditional executive support duties with project management tasks, requiring strong organizational skills and the ability to manage diverse administrative priorities effectively.

Responsibilities:

Calendar Management:

  • Manage and maintain the executives’ calendars, ensuring optimal use of time and prioritizing conflicting demands.

  • Schedule appointments, meetings, and conferences, coordinating with internal and external parties.

  • Schedule regular strategic thinking/planning time for executives.

Communication Management:

  • Serve as the primary point of contact for the executives, responding to inquiries or routing them to appropriate personnel.

  • Understand the priorities and initiatives of the executives to act as an effective 'gatekeeper.'

Travel Arrangements:

  • Arrange complex travel itineraries, including flights, accommodations, transportation, and visa requirements.

  • Prepare monthly travel expense reports and ensure adherence to corporate travel policies.

Meeting Coordination:

  • Coordinate and schedule meetings, prepare agendas, and compile necessary materials/documents.

  • Attend meetings, take notes, and track/follow up on action items to ensure timely completion.

  • Provide logistical support for meetings and events.

Administrative Support:

  • Provide administrative support to the executives, including issuing status reports, drafting presentations, managing documents, and facilitating POs and expense report approvals.

  • Assist with special projects, presentations, or reports as assigned.

Marketing Specific Responsibilities:

  • Compile and distribute weekly key deliverables email to Writing VP and Global Brand Directors, tracking team actions/deadlines.

  • Attend Monthly Brand Tracker meetings, capturing and distributing follow-up notes.

  • Coordinate monthly marketing meetings (MMM), including agenda creation, guest speaker briefings, presentation management, and follow-up.

Organization and Efficiency:

  • Design and implement organizational systems and procedures to streamline workflow and maximize efficiency within the executive's team.

  • Anticipate needs, identify areas for improvement, and implement solutions to enhance productivity.

Project Management:

  • Develop, manage, and oversee selective projects and work plans.

  • Coordinate internal and external resources to ensure projects adhere to scope, schedule, and budget.

  • Track and report project outcomes and risks to appropriate management channels.

Confidentiality:

  • Handle sensitive information and always maintain confidentiality.

Relationship Management:

  • Build and maintain effective working relationships with internal and external stakeholders.

  • Represent the executives professionally in all interactions and communications.

Qualifications:

  • Excellent communication skills, both written and verbal.

  • Strong organizational skills with the ability to manage multiple projects simultaneously.

  • Analytical mindset with the ability to gather, analyze, and interpret data.

  • Detail-oriented with a focus on accuracy and quality.

  • Discretion and integrity in handling confidential information.

  • Proactive problem solver with the ability to anticipate needs.

  • Ability to work independently and as part of a team.

  • Flexibility to adapt to changing priorities.

  • Two or more years of project management experience is preferred.

Technical Experience:

  • Proficiency in MS Office Suite including Outlook, Teams, SharePoint, Excel, Word, and PowerPoint.

  • Knowledge of SAP, Egencia, Concur, etc. is a plus.

  • Must have 5-7 years of administrative support at the executive level.
