Need for Research Financial Coordinator/Financial Analyst to join top research hospital in Georgia!

Description:

The role of this position is to carry out awarded sponsor contracts for individual clinical trials and to reconcile all financial activity for studies conducted by the Research Program. This individual will work closely with the Accounting and Finance Departments to support the processing, accounting and financial reporting aspects for research projects. This role will also serve as the point of contact for post-award financial administration issues related to clinical research projects and services. This individual will be a resource to research administration, Investigators and the research project team to provide status updates on research project accounts, the sponsor invoicing process, as well as manage research project close-out and reconciliation efforts.

Responsibilities:

  1. Track study milestone information produced as each research project progresses to help identify when a sponsor for a research project can be invoiced.

  2. Review research expenditures for allowability and monitor the progress of each research project by reviewing the expenditures against the budget.

  3. Work with the Proposal and Contract Coordinator to ensure that the final budget is accurately entered in to the clinical trial management system (CTMS).

  4. Reconcile revenue and expense activity of 200+ clinical trials on a monthly basis.

  5. Invoice patient activity and maintenance fees to study sponsors based on the contract.

  6. Post payments from sponsors to the appropriate studies. Identify and research financial discrepancies and missing activity using the CTMS as well as internal and external contacts.

  7. Continually monitor and follow up on past due invoices.

  8. Review, approve and process incoming requests including invoices, purchase orders, patient stipend expenditures, Travel & Education reports, travel advances, interdepartmental invoices and journal entries.

  9. Prepare study associated reimbursements including review of Physician Investigator Time Sheets & Employee reimbursement.

Vendor Services:

  1. Track, monitor and manage the expenses of all sites/entities from whom we obtain research services.

  2. At the completion of the research project, support Accounting and Finance Department in reviews of expenditures and receipts to ensure that all are accounted for the research project.

  3. Prepare administrative payment distribution documents in accordance with availability of funds, date of transaction vs. budget period and assure accuracy & allowability in accordance guidelines and applicable agreements.

General Reporting:

  1. Prepare financial status reports for the CRD. Identify potential issues to bring to the attention of research leadership.

  2. As needed, support preparation of financial reports for federal agencies.

  3. Develop and maintain internal financial control systems to monitor performance against budget. Report monthly to research leadership.

  4. Review research accounts monthly; identify problem account and/or deficits and work with research leadership to rectify.

  5. Monitor monthly financial statements and departmental P&L statement to ensure sponsored project expenditures are within the pre-established budget

  6. Maximize utilization of the CTMS to manage and forecast financial operations to prevent overdrafts.

  7. As appropriate, obtain key research financial reports for internal distribution to research leadership, internal departments, Investigators and research support staff.

  8. Create and document standard operating processes as needed

  9. Assist with special projects and team coverage.

Additional Skills & Qualifications:

Additional Qualifications required:

  1. Bachelor’s degree in Accounting, Finance or a related field, with at least one (1) year of relevant research experience or equivalency required.

a. An applicable related field may be business administration, healthcare administration or experience as a Research Coordinator or Clinical Research Associate with financial experience.

  1. A thorough understanding of general ledger accounting practices, cost analysis and accounting principles, as well as demonstrated analytical, problem solving, human relations and effective communication skills also required.

  2. Advanced knowledge of Microsoft Office Applications such as Excel, Access and Power Point.

  3. Applicants must demonstrate the potential ability to perform the essential functions of the job as outlined in the position description.

  4. Strong attention to detail and ability to adhere to policies and procedures

  5. Excellent organizational skills, effective follow-through and commitment to excellence

  6. Knowledge about clinical research administration, Good Clinical Practices, and federal grants.

Knowledge and Abilities preferred:

  • Experience in a healthcare or community hospital setting strongly preferred

  • Effective professional communication skills; ability to communicate with others in a clear, understandable, and professional manner

  • Strong interpersonal skills; ability to work with personnel at all levels to gather information, communicate compliance requirements and handle complex issues within an often-sensitive political environment

  • Ability to work collaboratively in a team environment

  • Must be flexible and adaptable, conditions and environment are unpredictable and change frequently
