Job Summary:

Key Responsibilities:

  • Support the Director by determining the priorities of constituent issues and problems, handling things directly when appropriate, referring to other teams as needed; ensure follow-up on phone calls and emails as appropriate.

  • Act as a personal representative of the Director for contacts within the School of Medicine whether in person, on the phone, or via electronic or written means.

  • Create first drafts of reports, power points, grant application outlines/literature reviews, and basic graphics to be used by the Director in carrying out ACCORDS mission/vision with collaborators.

  • Use and learn new technology (e.g., poll everywhere, Canva, Aha Slides, Google Docs, Box, etc.) to create presentations or interactive tasks for the Director to use in carrying out ACCORDS mission/vision with collaborators.

  • Anticipate and create first drafts of needed documents, literature reviews/research summaries, communication/marketing, or coordination of ACCORDS regular activities and meetings with collaborators.

  • Manage ACCORDS-wide events (retreats, open houses, etc.) including completing all necessary official function request paperwork, room/space reservations, budget development, organizing contracting/catering needs, and ensuring any materials and A/V arrangements are completed. This requires coordination across all ACCORDS Core/Program leads, administrative team members, as well as communicating with other key attendees.

  • A bachelor's degree in business, business administration, healthcare administration, public administration, or a directly related field from an accredited institution.

  • Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

  • Minimum of 1 year of professional-level experience in a professional environment.

Senior:

  • A bachelor's degree in business, business administration, healthcare administration, public administration, or a directly related field from an accredited institution.

  • Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

  • Minimum of 2 years of professional-level experience in a professional environment.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • 5+ years of experience in an executive-level administrative support role

  • Experience in an academic healthcare environment is strongly preferred.

  • Experience providing administrative and technical assistance to faculty and staff within higher education and/or medical education environment.

  • Experience working with University of Colorado business applications, such as Marketplace, Concur, and Peoplesoft.

Intermediate Preferred Qualifications:

  • 2-3 years of professional-level experience in a professional environment.

  • 2 + years' experience in an academic health center/medical campus setting

Senior Preferred Qualifications

  • At least 3-4 years of professional-level experience in a professional environment.

  • 3+ years' experience in an academic health center/medical campus setting

Competencies:

  • Excellent written and oral communication skills.

  • Outstanding customer service skills providing executive-level customer service for those coming to the Director's office and interacting with the Director via correspondence.

  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.

  • Demonstrated commitment and ability to advance diversity and inclusion.

  • Ability to manage and maintain complex, sensitive, and confidential information.

  • Advanced skills in Microsoft Office Suite, video conferencing, phone system knowledge, and etiquette.

  • Excellent time management, organizational skills, and ability to manage multiple projects along with the ability to move from one task/duty to another without errors despite frequent interruptions.

  • Strong sense of urgency and problem-solving skills combined with the ability to prioritize projects.

  • Prior experience at a similar level of responsibility with the proven ability to realize the work unit's mission statement, vision, and goals, as set forth by the Director.

  • Excellent research skills and attention to detail.

  • Ability to take direction and use independent judgment to coordinate various projects and meet multiple deadlines.

  • Ability to effectively explain processes and procedures.

  • Must possess a professional demeanor and have experience that demonstrates problem-solving skills.

  • Must be able to work independently with minimal supervision.

The Assistant to the Director will be responsible for executive-level administrative and project support for the Director of the Adult & Child Center for Outcomes Research and Delivery Science (ACCORDS). This position provides executive level support including researching, synthesizing, and consolidating information; creating reports and presentations using the latest technology; providing logistical support for presentations and meetings; and drafting correspondence and a variety of other communications material. The person in this position requires a high-level of knowledge and skill in writing and drafting documents, as well as excellent technology skills to work efficiently and effectively in the MS suite – MS Word, Outlook, PowerPoint, Teams, SharePoint, and new and emerging technologies, etc. This position will also be responsible for a variety of tasks involving multiple areas of focus – including administration, operations, research services – and will work closely with the ACCORDS Director, Director of Finance & Administration, and Administrative Team. Specific tasks are outlined below. This position plays a key role in ensuring effective coordination and communication to internal and external constituents including the CU School of Medicine Dean's Office, Children's Hospital Resesarch Enterprise, the Anschutz Campus Chancellor's office, and SOM Department Chairs and Division/Section Heads; in addition to all external partners.

ACCORDS is a research center supporting the advancement of health services research and T3-T4 translational research jointly funded by the School of Medicine and Children's Hospital Colorado Research Institute. ACCORDS serves as the focal point for health care professionals, researchers, and analysts from across the Anschutz Medical Campus to foster multidisciplinary collaborations that bring together our campus' diverse skills and talents to pursue health services research and education. In addition, ACCORDS cultivates strong research and educational collaborations with external partners including the University of Colorado School of Public Health, Children's Hospital Colorado, Denver Health, Kaiser Permanente Colorado, UCHealth, as well as other health care delivery systems, community organizations, and state and local government agencies. ACCORDS has programs in Dissemination and Implementation Science, Patient-Centered Decision Making, Education, Community Engagement and Outreach, as well as methodological cores in Qualitative and Mixed Methods, Economic Analysis, Practice-Based Research Networks (PBRNs), Biostatistics for Health Services Research, and Mobile Health & Informatics.
