    The Position

    A department coordinator’s primary duty is to support the administrative operations in the functional area, including data collection and metric reporting system and act as a liaison between key executives and employees.

    Relationships

    Reports to: Supervisor, Supply Chain - Planning

    Essential Functions

    • Collect, analyze & enter data regarding the performance and use of material, processes, and equipment

• Organize and/or creating visual representations (spreadsheets, reports, PowerPoint presentations, etc.)

• Utilize ERP systems (JDE) and additional databases to perform short-term and long-term forecast analysis

• Complete projects and special assignments

• Establish objectives

• Determine priorities

• Time Management

• Ability to work cross-functionally and to gain cooperation of both internal and external team

• Monitor progress of projects

• Make adjustments to plans

• Order, receive, and coordinate logistics of supplies

• Improve quality results by studying, evaluating, and redesigning processes

• Mentor lower-level Department Coordinators

• Implement changes and manage visual communications/controls for production and gathering areas

• Other duties as assigned

Physical Requirements

Frequent sitting, standing, walking, reading of written documents and use of computer monitor screen, reaching with hands and arms, talking, writing, listening. Occasional stooping, kneeling, crouching, bending, carrying, grasping. Frequent lifting and/or moving up to 10 pounds and occasional lifting and/or moving up to 50 pounds. Must comply with EHS responsibilities for the position. Working conditions will be heating ventilation and air condition controlled."

Qualifications

  • Education/Experience:

  • High School Diploma/GED, required

  • Technical Certificate or higher, strongly preferred

  • 5+ Years Relevant experience required

  • GMP Experience, Preferred

  • Technical Requirements:

  • Proficient in all and MS Office Suite applications – Outlook, PowerPoint, Word, Excel, Visio, etc. (intermediate/advanced experience)

  • SharePoint a plus

  • Knowledge of and experience using Global Trackwise QMS software

  • Manage and appropriately prioritize workload across multiple clients, projects, and work activities to meet business commitments, deadlines, client expectations, and project goals

  • Accurately manage inventory based on transactional volume and resource utiliza-tion.

  • Work with cross-functional teams (i.e. finance, materials management, and legal) to ensure materials that are expired or rejected are addressed accordingly to con-tractual obligations and other regulatory requirements

  • Establish and lead supply chain related communications internally and externally, including meetings for kick-off and process updates, and any other communication touch points necessary to coordinate and monitor project activities related to materials

  • Track supply chain project tasks and client activities to improve systems, processes, and customer relationships

  • Strong written and verbal communication skills

  • Exceptional interpersonal skills and the ability to be proactive with calendar management and meeting preparation and planning

  • Ability to be self-motivated, process oriented, and customer focused

  • Professional demeanor and the ability to always interact with internal/external customers in a positive and professional manner

  • Ability to evaluate and correct general administrative problems/exercise good discretion and judgment when problem solving administrative issues

  • Ability to always handle highly confidential information with discretion and professionalism

  • Ability to utilize different video conferencing and collaboration platforms” i.e. Teams, Zoom, or phone

  • Must be a team player and willing to participate in “task teams” to accomplish projects as needed

  • Ability to prioritize and multitask, pay attention to detail, work under pressure and meet tight timelines

  • Weekend and after hours work may be required at times
