POSITION SUMMARY: Under general supervision, the Human Resources Assistant performs a variety of administrative duties to support the Human Resources team. HR functions support all employees and the effectiveness, growth, and sustainability of Jannus diverse programs.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Administrative Duties:

  • Perform clerical and administrative duties, such as maintaining employee database and sorting emails for the HR team
  • Maintain proper record keeping of confidential employee files
  • Assist in tracking/record keeping of employee attendance, leaves, performance reviews and other documents.
  • Assist HR team with open enrollment, employee relations and audits as needed

Talent Acquisition:

  • Assist HR Manager with recruitment lifecycle (e.g. onboarding new hires and candidate sourcing)
  • Submit online job postings for recruitment on required sites
  • Process documentation and ensure accurate record keeping for recruitment files
  • Coordinate communication with candidates and schedule start day for new employees.
  • Conduct first day paperwork and new employee orientations as needed

Risk Analysis and Management:

  • Responsible for awareness within Jannus of risk to employees, clients, volunteers, programs and Jannus that may arise out of human resource related activities and decisions.

Relationships and Communication:

  • Develop and maintain effective working relationships with all Jannus staff;
  • Proactively communicate information that may impact programs or Jannus as a whole;
  • Promote timely, effective and professional communication with all staff at Jannus;

Other Responsibilities:

  • Promote an environment among staff where the highest ethical standards are expected and lived, where compliance with organizational policy and the rules and regulations that govern the organization are the norm, and where business relationships are based on open, professional and respectful communications;
  • Assist HR team with training content development, presentation and tracking
  • Provide backup support to the Human Resources Manager
  • Serve as backup receptionist as needed;
  • Attend and participate in regular Jannus Human Resource team meetings as appropriate;
  • Assist HR team with various special projects as needed
  • Regular and predictable attendance is required.
  • Other duties as assigned

QUALIFICATION REQUIREMENTS:

  • Highly organized with the ability to identify priorities while also being flexible to adjust those priorities based on the needs of the organization;
  • Strong self-initiative and attention to detail;

  • Minimum 2 years of Human Resources or Senior in Human Resource Degree program
  • Working knowledge of Microsoft Excel, Outlo k and Word;
  • Highest level of integrity and willingness to comply with all Jannus policies and procedures;
  • Ability to pass a criminal history background check;

EDUCATION:

Senior in Human Resource Degree program or 2 years of relevant experience.

WORKING CONDITIONS:

Works in general office environment.

PHYSICAL REQUIREMENTS:

Ability to work at a computer, answer phones and use office equipment. May be required to move up to 10 pounds.
