FirstService Residential Lead Concierge in Boston, Massachusetts

Job Overview:

The Lead Concierge works independently, and without direct supervision. Assists in the successful execution of the highest standards of service and hospitality for Trinity Place Condominium residents, guests, co-workers, vendors, service providers, neighbors, and all others. Possesses strong communication, telephone, and customer service skills. Meet. Able to understand and react to emergency response and access control procedures and accurately maintains daily logs, records and forms.

Reports to General Manager

Responsibilities:

· Oversees the scheduling of Concierge staff and liaise with the Valet supervisors with the staffing schedule/guidelines.

· Provides initial training and orientation of the concierge staff.

· Assists with training of respective staff to ensure that all contractors and vendors are signed in/out of the building and applicable Certificates of Insurance for contractors, moving companies and delivery companies is received and filed appropriately.

· Ensures that resident service standards are consistently met and/or exceeded and a high level of service is being achieved at all times.

· Maintains resident database in Building Link ensuring information in Building Link is up to date.

· Participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems, and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.

· Assists with coordination and execution of residents’ maintenance requests.

· Ensures that residents are well informed of neighborhood activities in a consistent and timely manner.

· Monitor and mail out weekly mailings to residents who are away for winter/travels. Make sure the mailings go out as scheduled and copies of receipts are placed in the Courier binder.

· Ensures that all office supplies, resident recreational supplies, fitness supplies are ordered, and inventory is maintained as per standard set inventories.

· Assists with establishing and fostering good relationships with neighborhood retail tenants.

· Assists the General Manager in sending notifications to residents as needed.

· Assists the General Manager in documenting Incident reports.

· Assists General Manager in enforcing the Condominium Rules and Regulations, in accordance with the Governing Documents.

· Perform or assist with any operations as required to maintain workflow and to meet schedules. Notify supervision of unusual equipment or operating problems and the need for additional material and supplies.

· Ensure all safety precautions are followed while performing the work.

· Performs other related tasks or projects as assigned by supervisor; assists other departments by providing lateral service when possible.

· Ability to developing and maintaining good working relationships, working closely with all team members including the Concierge, Valets and Door, Maintenance and Custodial Staff to ensure smooth running of the Front of House including the Loading dock, Package room, Residents’ Conference room / Library and Fitness areas.

· Always displays a high level of integrity and professionalism in dealing with residents and their guests, fellow employees, and all others.

· Works independently and without supervision, taking initiative and ownership of all responsibilities.

· Prioritizes, organizes, and follows up as required in a timely manner.

· Regular attendance and punctuality are essential functions for the role.

· Maintains confidentiality of all owners’ information and pertinent Residence data.

· Focuses attention to owners’ needs, remaining calm and thinking clearly in emergency situations.

· Ability to work under pressure and appropriately manages multiple tasks within any given period with accuracy, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.

· Provides correct information to residents in courteous and timely manner.

· Demonstrates patience, tact, understanding and resourcefulness in meeting the many and varied requests of our residents.

· Demonstrates professional image and personality while showing confidence and leadership.

· Keeps supervisor well informed of any challenges/issues and actions taken.

Skills & Qualifications:

· High school diploma or equivalency required. College level courses in business or hospitality preferred.

· Must possess strong customer service background.

· Two (2) to three (3) years of business experience in similar position preferred.

· Computer literacy

· Command of information system hardware/software is preferred.

· Effective written and verbal communication skills.

· Multiple language fluency is desirable.

· Strong customer service, communication and interpersonal skills required.

Special Requirements:

· Ability to lift up to 50 lbs.

· Standing, sitting, walking and occasional climbing

· The employee is required to work at a personal computer for extended periods of time as well as talking on the phone for extended periods of time.

· Ability to detect auditory and/or visual emergency alarms.

· Ability to work extended/flexible hours, weekends. Driving when necessary.

· Excellent organizational skills and project management

· Exceptional communication and interpersonal skills.

· Advanced written communication skills.

· Advanced Microsoft Office skills.

· Knowledge of basic accounting/budgeting procedures.

· Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.

· Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats and in a timely manner

· Ability to conceptualize, plan and organize multiple programs and assignments effectively.

· Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.

· Skill in developing and maintaining good working relationships.

Compensation:

$32.00 - $34.00/hr
