Pinelake Church Administrative Assistant-Preschool Ministry [Part-Time] (Reservoir Campus) in Brandon, Mississippi

SUMMARY

Provides administrative support to the Preschool Ministry to fulfill the overall goals and objectives of the ministry and Pinelake Church. Primary responsibilities relational contact support in multiple areas of the ministry to families and leaders.

GENERAL RESPONSIBILITIES

  • Works in coordination with the overall goals and objectives of the Preschool Ministry.

  • Assists the ministerial staff to work toward excellence in all areas of the ministry with emphasis in events and our church safety policy, Our House Promise (OHP).

  • Communicates these activities to other staff members, the church congregation, and ministry teams, as instructed by the Preschool Minister.

  • Assists other staff members, when needed, to support teamwork and contribute to the successful completion of their objectives and strategies.

  • Basic personal responsibilities:

  • Maintains a vital and growing personal walk with the Lord through committed Bible study, prayer, and meditation.

  • Maintains proper priorities in your home including your spouse and children (if married and/or with children).

  • Faithfully supports the ministries of Pinelake by maintaining wise stewardship measures over the resources entrusted to you.

  • Reflects a growing awareness and practice of personal emotional and spiritual health.

  • Performs duties and responsibilities in a manner to glorify Christ and further the mission and ministry purposes of Pinelake Church (Colossians 3:23-24).

SPECIFIC LIST OF DUTIES AND RESPONSIBILITIES

  • Learns, tracks, and understands Connections in our church management system, Rock.

  • Works with Preschool Minister and the ministry team on developing and implementing a process for guest follow-up and retention.

  • Manages the administrative tasks of the Our House Promise (OHP) process in a timely manner, ensuring ongoing OHP compliance for new and existing Preschool servant leaders. This includes scheduling servant leader meetings with Preschool Team members, processing paperwork, running regular reports, and updating appropriate information in Rock for all Preschool servant leaders.

  • Helps support the Preschool Ministry team by re-setting leader lanyards each week.

  • Assists Preschool Ministers with volunteer recruitment and the onboarding process through emails, phone calls, and communication.

  • Assists and supports with planning events, appreciations, and huddle meetings under the leadership of the Preschool Minister, including being present during special events.

  • Manages and sets meetings, coordinates responses, and monitors pre-planning around special events such as Baby dedication, leader appreciations, and leader huddles.

  • Assists in coordinating and set up for Preschool events including refreshments, supplies, décor, etc.

  • Obtains quotes, makes reservations, and books dates for Preschool event equipment, food, photographers, etc.

  • Creates templates for programs, agendas, invitations, and schedules for Preschool events and meetings.

  • Creates, schedules, and prepares appreciation moments for servant leaders.

  • Assists in errands that allow the Preschool Team to care for leaders.

  • Remains apprised of current and new processes, taking initiative to stay up to date on training in Excel, Word, Canva, Rock, and budget management systems.

  • Utilizes Rock with expertise and ongoing self-training to keep Preschool-related groups, reports, events, and attendance accurate and up to date.

  • Utilizes Outlook calendar to manage time on a daily, weekly, and monthly basis, and coordinating meetings with Preschool team as needed.

  • Performs other duties as assigned.

EDUCATION AND EXPERIENCE REQUIRED

High school diploma or equivalent minimum; college experience preferred. Two to five years of administrative experience.

The story of Pinelake Church began in February of 1971 in Brandon, Mississippi in a mobile chapel in a rural area near The Reservoir. By God's grace and power, our faith family has grown into a dynamic church spanning five cities throughout our state -- Clinton, Madison, Oxford, the Reservoir, and Starkville. Weekly, we serve over 12,000 people, but we celebrate stories of life change one person at a time.
