State of Massachusetts Front Desk Receptionist (Clerk III) in Brockton, Massachusetts

The Department of Mental Health is seeking a talented individual to fill a full-time Front Desk Receptionist to provide support for the Brockton Multi-Service Center (BMSC). The successful candidate will provide registration and reception support at BMSC to greet and register clients for appointments and directing visitors to desired locations. The incumbent will handle and direct all incoming phones to appropriate staff and provide support to the Billing Department. _Please Note:_* This position is 37.5 hours per week. The selected candidate will work 9:00 a.m. to 5:00 p.m. Days off are Sunday and Saturday. * * *_Duties and Responsibilities (these duties and responsibilities are not all inclusive):_ * Greets and registers clients through electronic medical record system, checking demographic information and updating as necessary. * Notifies staff of client arrivals. * Answers incoming telephones calls and transfers to appropriate staff. * Completes/ reconciles and follow up with all billing encounter forms. * Provides back up to clerks as assigned. * Contacts clients to cancels appointments as needed. * Review of names and addresses in CARe and add to CARe as needed. Review information in CARe against new registration information and make changes to update demographic information as necessary. * Complete letters for Intake Department and process accordingly. * Maintains updates and distributes monthly to staff the telephone directory for BMSC. * Provides and maintains reports regarding client appointments, no shows and outstanding billing encounters * Uses standard office machines and equipment, maintains supplies needed for use of their equipment. * Monitors client and visitors in the lobby area and requests assistance as needed. _Required Qualifications:_ * Knowledge of clerical office practices and procedures including office record keeping, office correspondence control, types and uses of office equipment and supplies, business letter and report preparation, etc. * Knowledge of business English including spelling, word meaning and word usage. * Knowledge of the standard office practices relative to handling incoming mail. * Knowledge of the types and applications of standard office filing systems. * Ability to exercise discretion in handling confidential information. * Ability to follow oral and written instructions. * Ability to deal tactfully with others. * Ability to communicate effectively in oral expression. * Ability to work accurately with names, numbers, codes and/or symbols. * Ability to file material in accordance with standard filing procedures. * Ability to maintain accurate records. * Ability to establish and maintain harmonious working relationships with others. * Ability to adjust to varying or changing situations to meet emergency or requirements. _Preferred Qualifications:_ * Previous experience working within an electronic medical record system. * Knowledge of interacting with individuals experience mental illness. * Some knowledge of medical/psychiatric terminology. * Functional knowledge of the Word/Excel/Outlook computer program. * Knowledge of data entry into various Excel and Access databases _Department of Mental Health Mission Statement:_ The Brockton Multi Service Center provides comprehensive services to mentally ill adults and children.
