About the position:
We are seeking a Sales Support Coordinator position to provide
administrative and sales support to the Sales Management Team. This
position will support execution of communications programs and marketing
activities for Alfa Laval Air Products, to include the following:
- Handle activities around the planning of sales meetings and
trainings attended by outside personnel.
- Coordinate meeting arrangements for both internal and external
meetings (order equipment, meals, etc. as required). Set up
videoconferences as needed, including having all invitees \"dialed
up\" in time for the meeting.
- Maintain reports/presentations (Word, Excel and/or Power Point) by
entering/changing data as directed by team member. Post information
as directed and maintain the timeliness of these exhibits.
- Set up and maintain a calendar of events to include visitors
scheduled into the facility as well as any other special events.
Identify the names of the visitors, companies represented and reason
for the visit. Communicate this information to members of the Sales
and Management Teams.
- Make copies, prepare manuals, etc for distribution.
- Participate in and/or carry out special projects and assignments as
needed.
- Support corporate activities related to advertising and marketing
initiatives for various print and online media.
- Develop communications related to organizational topics and issues,
initiatives, activities, product launches, market successes, etc.,
including submission to global internal communications.
- Support production of job posters and marketing material for sales
team.
- Coordinate and manage participation in exhibitions, trade shows,
events, \"lunch and learns,\" etc.
- Prepare and implement internally oriented presentations and events.
- Execute activities within the Alfa Laval Brand, implementing the
identity guidelines with all applications, e.g. templates, graphics,
images and other tools and initiatives.
- Order and maintain promotional items inventory.
- Follows all safety policies and company-wide safety requirements;
encourages action assuring safe behavior; confronts unsafe behavior
and conditions proactively and positively.
- Complies with all company policies and procedures.
- Conducts himself/herself in a considerate, professional, cooperative
and helpful manner toward fellow employees, customers, vendors and
visitors.
What you know:
You have a high school diploma or equivalent with 3+ years of experience
in administrative assistant responsibilities, with preference in a
manufacturing environment, to include the following:
- Working knowledge of PC operating system, Microsoft software
packages - including Share, FrontPage, electronic publishing
software - including PhotoShop, desktop publishing software -
including PageMaker and/or InDesign, etc.
- Ability to develop and maintain strong relationships across all
levels of the organization.
- Strong team player with a demonstrated level of collaboration and
organizational skills.
- Balanced creative and analytical approach.
- Ability to maintain high levels of confidentiality with ability to
multitask.
- Comfortable working in a fast paced, changing environment.
- Good written and oral communications skills required - preferably in
a business-to-business environment and/or with industrial markets.
- Experience with marketing communications activities eg - public
relations, advertising, internal communications, trade shows, direct
marketing, etc.
- Experience writing for sales channels and customers, and related
publication production preferred.
- Demonstrated skills with electronic marketing communications and
related electronic media (webinars, e-trade shows, banner ads, etc.)
is preferred.
