Responsibilities The Executive Assistant of the PrairieCare Shared Services Organization coordinates the daily work of the Executive Leadership team. Manages various executives' professional and personal schedule (with particular attention paid to efficient time management), travel plans, conference attendance, and filing system. Interacts often with leadership from other organizations including elected officials, governmental executives and Chief/Executive-level officers in private and not-for-profit organizations. Responsibilities and Accountabilities: Interacts often with leadership from different departments along with members of the medical staff Arranges meetings as directed; prepares and distributes agendas and minutes Responsible for, with minimal direction, revising and updating a variety of documents as requested (e.g., policies, memoranda, reports, letters, etc.) Must have ability to use with ease multiple software programs including Microsoft Office products (e.g., Outlook, PowerPoint, Word and Excel) Coordinates all activities relating to the Governing Board and its meetings Assists with triaging phone calls and sorting mail Responsible for coordinating lunches and dinners Acts as a "back up" to the Administrative Assistant and will, when time and duties permit, support other Chief level officers as well Qualifications Bachelor's degree required At least 5 years of Chief/Executive-level executive administrative support experience and office organization experience required Healthcare background is helpful but not necessary Familiarity with medical terminology desirable. Must have strong computer applications using all Microsoft Office products and applications Ability to maintain confidential information Accurate typing speed of 65+ wpm Have clerical perception to proofread and edit typewritten copies, file records and use various office machines and equipment Requires exceptionally strong verbal and nonverbal communication skills Ability to draft policies/procedures, organizational diagrams, letters and memoranda, visual aid graphics, PowerPoint slide presentations and flow charts with minimal direction Ability to manage multiple projects and receive direction from multiple individuals Ability to seek clarification if prioritization is needed or directives are given PrairieCare is a psychiatric healthcare system experiencing rapid growth in the Twin Cities and southern Minnesota.
