Under the general supervision of the Director of Research Administration, the Manager of the Office of Sponsored Research (OSR) oversees the office at Lahey Hospital and Medical Center (LHMC) that manages the pre-award business activities necessary to ensure both the financial viability of LHMC research programs, as well as institutional compliance with federal law and regulation pertaining to the administration of research grants and contracts. OSR supports clinical investigators, administrative leadership, and LHMC by: 1) preparing and negotiating reserach agreements and budgets, 2) making prospective reimbursement determinations (“coverage analysis”), and 3) preparing and submitting federal and non-federal grant applications.

Job Description:

Essential Duties & Responsibilities including but not limited to:

  • Collaborate with investigators, department administrators, study coordinators, sponsors, assistant general counsel, and the Manager of the Research Support Office, as needed, to develop and negotiate budgets and contracts for industry-sponsored clinical trials and investigator-initiated research.

  • Serve as the primary liaison to investigators, study coordinators and department administrators for communicating study resource requirements, and obtaining required pre-award approvals.

  • Oversee sub-recipient monitoring and risk assessments, and performs ancillary review of IRB applications to ensure alignment with informed consent forms and contractual agreements.

  • Serve as the primary pre-award office resource for faculty to prepare and submit grant applications for all sponsor types; perform quality assurance of application materials for accuracy and completeness, according to grant application instructions and agency policies; submits materials in response to just-in-time requests.

  • Maintain thorough understanding of state, federal, and commercial payer rules governing prior-authorization, reimbursement of routine costs in clinical trials, coding and claims processing requirements for billing research-related items and services.

  • Collaborate with other administrative offices, such as the BILH Office of General Counsel, IRB Office, Information Services and Research Finance to ensure compliance with sponsor and institutional policies.

  • Manage and provide day-to-day supervision and quality assurance for work product of direct reports, who are responsible for conducting prospective reimbursement analyses (i.e., “Medicare coverage analysis”), preparing and negotiating clinical trial budgets, and reviewing and negotiating research-related contracts.

  • Serve as a signing official for federal grant applications.

  • Evaluate OSR organizational structure, business processes and research policies; determine training and education needs for OSR staff, and coordinate with Research Finance and research administrators to determine training needs for faculty and staff.

  • Supporting training and educational activities by developing materials and serving as a subject matter expert and presenter.

  • Participate in working groups related to research administration issues (e.g. Research Finance, Research Support Office, etc.).

  • Provide ad hoc reports requested by the Director of Research Administration, and perform other duties and special projects, as assigned.

Minimum Qualifications :

  • Bachelor's degree required. Master’s degree in health care or scientific field preferred.

  • Certified Research Administrator (CRA) is desirable

  • 5-8 years related work experience required, preferably within an academic medical center; 1-3 years supervisory/management experience preferred

  • Requires a detailed knowledge of laws and regulations governing the conduct of research, in particular clinical research.

  • Requires proficiency with Microsoft and other web-based applications. Advanced skills with Microsoft Excel and Word are particularly important for this role.
