Responsibilities NONAPPROPRIATED FUND POSITION DESCRIPTION JOB TITLE: Administrative Assistant BUSINESS TITLE: Administrative Assistant (Bowling Program) JOB SERIES: 0303 PAY LEVEL: NF-02 SUMMARY OF DUTIES: Provides administrative and clerical support for one or more activities. Operates a personal computer (PC) and peripheral equipment to produce a variety of correspondences, and screens all incoming telephone calls, determining those, which can be answered, and those, which must be referred. Makes arrangements for meetings including space and time and notifies those who are to attend of the topics to be discussed. Prepares detailed or summary reports for meetings. Establishes and maintains subject matter files and records. Arranges travel and transportation schedules as directed. Responsible for typing complex statistical reports, budget spreadsheets, financial statements, directives from handwritten drafts or oral instructions in accordance with available guidelines and instructions by utilizing a personal computer. Responsible for correct spelling, punctuation, and proofreading of typed materials. Provides World Class Customer Service with an emphasis on courtesy. Assists customers and communicates positively in a friendly manner. Takes action to solve problems quickly. Alerts the higher level supervisor, or proper point of contact for help when problems arise. Adheres to safety regulations and standards. Promptly reports any observed workplace hazards, and any injury, occupational illness, and/or property damage resulting from workplace mishaps to the immediate supervisor. Adheres to established standards of actively supporting the principles of the EEO program and prevention of sexual harassment. Performs other related duties as assigned. This is a white-collar position where occasional lifting up to 20 lbs may be required. Requirements Conditions of Employment See Duties and Qualifications EVALUATIONS: Qualifications BASIC QUALIFICATIONS: Must be at least 20 years old AND have graduated from high school or been awarded a certificate equivalent to graduating from high school. (Valid documentation will be required upon hire). A minimum of one year experience and knowledge in responsible clerical support work, such as managing files and records, preparing documents and correspondence, receiving visitors or telephone calls, etc. Must be able to accommodate a flexible work schedule to include weekends, holidays, and night time. Must be able to complete Cash Handling Training Course before handling fund and Refresher Course once per year. Must be able to obtain GOV (Government Owned Vehicle) lenience as required by the supervisor. QUALIFICATION REQUIREMENTS: Have a strong command of the English language to include written and oral skills. Knowledge of PCs and software such as word processors, graphics, spreadsheets, and database to produce a wide range of documents. Possess excellent customer service, interpersonal skills, tact, and problem-solving abilities, a team player and actively looking for a way to help people. Must have ability to learn organization's functions and procedures sufficient to receive visitors or telephone calls, distribute mail, and maintain files, etc. This activity is a Drug-free workplace.
