Job Details POSITION SUMMARY: The Assistant Site Director provides leadership, direction, and ongoing administration and management for all aspects of the assigned medical offices of the CHS Physician Medical Group. The Assistant Site Director ensures policies and procedures are implemented for efficient, effective management of all programs. The Assistant Site Director has overall responsibility for all aspects of physician practice management's financial results and operational performance and is accountable to communicate and implement the Medical Groups strategic initiatives to meet the CHS goals and objectives. The Assistant Site Director will be responsible for optimizing the Patient and Physician experience by utilizing survey results, increase the efficiency and capacity of the Medical Practices and be accountable for integration with the Hospitals, IPA and practices by ensuring all patients health needs are being met by referrals and hospital programs for other care services. Travel is required to visit referral sources and leadership meeting. DUTIES/RESPONSIBILITIES: Finance Takes the lead with Medical Group Operations and Service Line senior leadership for the preparation of the annual operational, staffing and capital budgets for all Service Lines operations at the site. Accountable for operational/financial metrics and overall business results of the practice, as well as, patient satisfaction, staff and physician engagement. Uses all available tools and applications to achieve highest performance level in all areas. Administrative/Operational Supervises, leads and develops staff at all levels to engage team to and oversee day-to-day operations of the multi-specialty site. Collaborates with medical group and service line leaders and to implements specific programs, products, and services to support the long-range strategic direction for the Medical Group's employed and non-employed physician practices. Collaborates with Onboarding to team and Medical Group leaders to understand results of due diligence and support onboarding of newly employed physicians as well as prepare and operationalize non-employed sessions. Assists with financial and operational performance monitoring and to ensure effective communication with senior leadership, the Medical Group, and physician practices both employed and non-employed. Responsible for managing the physician schedules for increased efficiency and to maximize practice office capacity and utilization of space and staff. Oversees the coordination of operational start-up and on-boarding for new practices with physician practice management staff. Collaborates with Medical Group contract management team to monitor all physician employment agreements for physicians and any contract provisions, updates, and revisions to be executed as intended. Collaborates with Medical Group Service Line leadership on creating and operationalizing session agreements. Ensures adequate staffing and advocates appropriate with business case to Meets with physicians and staff at a regular cadence with collaboration of SL and MG leadership to ensure operations function effectively. In support of service line development plans, ensures that the site has the staff and equipment required to achieve stated service, quality and patient satisfaction targets and ensures these items are both budgeted and approved accordingly. Collaborates with site physicians and medical group/service line clinical leadership to address any clinical operational performance factors serving as barriers to the achievement of stated service line objectives while maintaining scope of service appropriate to all levels of staff. Communicates any operational opportunities to the Medical Group and Service Line Leadership. Overall accountability using all available tools and applications to ensure Physician and staff are trained on EPIC and workflows are managed to reduce inefficiencies in the medical practices. Oversees and directs administrative activities to maintain accurate and comprehensive files for: patient records; current operational policies and procedures; internal and external reports and correspondence; governmental and regulatory standards. Provides recommendations and is open to suggestions for operational changes and ensures implementation and adherence. Identifies and recommends a course of action for approval to the Medical Group and Hospital leadership on organizational and/or operational problems requiring intervention or resolution. Manages the execution of the Medical Group marketing and branding programs. Other duties as assigned. Compliance/HIPAA Implementation and monitoring to ensure the Medical Group physician practices are in compliance with CHS policies, procedures, and process, as it relates to Quality, Safety, Environment of Care, and Corporate Compliance, and Privacy. Ensures appropriate accreditation and re-accreditation certifications are in place and facilities are in compliance with accreditation standards. Responsible for ensuring all Practices complete required Compliance and HIPAA Healthstream training in a timely manner. Ensures Practices report suspected privacy breaches and compliance issues in a timely manner. Revenue Cycle In collaboration with the Revenue Cycle management team and Medical Group leadership, engages in monitoring and improving front end revenue cycle functions using all available tools and applications. Monitors the front end revenue cycle performance for the site, including but not limited to demographic and insurance capture, charge capture, coding trends, open encounters, denial trends, and copay collection rates. Responsible for the understanding revenue cycle reports along with development and implementation of corrective action plans for denial mitigation and performance improvement activity. Identifies problems impacting financial performance, opportunities for revenue enhancement, and implements solutions that result from collaborating with the Revenue Cycle, Medical Group operations team and Information Technology departments. Technical/IT Strong working knowledge of CHS PM/EMR platforms. Ensures appropriate training and education for providers, managers and support staff, and ensures there is an EPIC super user as a back up to the site administrator engaging in the role of super user. Collaborates with the CHS IT Team to ensure issue resolution and identify optimization opportunity. Responsible for the effective roll out of new EPIC workflows and upgrades. Ensures that the Medical Group practices are positioned to optimize the performance of the EMR and PM strategies with goals to improve quality, clinical outcomes, and productivity. Responsible for Practices achieving CHS System My Chart activation rates, all digital enhancements, as well as, achievement of meaningful use objectives and quality measures. Human Resources Ensures appropriate industry standard staffing levels are maintained in assigned physician practices and supports requests for additional FTEs with appropriate business justification. In collaboration with Human Resources works to actively engage candidates to keep staffing levels appropriate to maintain safe operations. Leads the interview and selection process for all positions at the site. Ensures the implementation of and ongoing training of education and compliance with Human Resources policies and procedures. Measures and Evaluates direct reports performance by conducting introductory and annual performance evaluations timely. Collaborates with labor relations early and oversees in the drafting and delivery of corrective action and performance improvement plans. Manages payroll in fiscally sound manner, reports timely using all appropriate tools and applications. Responsible for the effective new hire integration and orientation. PERFORMANCE OUTCOMES: Engages and manage all initiatives and progress. Engages and manages financial performance of practice. Ensure and manages overall Physician, Patient and Staff satisfaction targets are being met. Manage staff turnover to ensure appropriate support staff is available to meet the practice needs. Collaborates with Onboarding and service line for new of practice and ensure EMR transition is smooth and productive. POSITION REQUIREMENTS AND QUALIFICATIONS: Education: Bachelor’s degree from an accredited university or college preferably in Health Management or Business Administration. Master’s Degree in Healthcare Administration preferred. Skills: Proven verbal, quantitative, financial and interpersonal skills. In-depth and up-to-date knowledge of medical practice administration. Must have experience in multi-specialty practice management. Ability to identify, valuation and realization of revenue opportunities and effectively engage physicians and all levels of staff to use optimized workflows as appropriate to drive performance. Extensive knowledge of governmental and third party payor healthcare reimbursement guidelines, and understands available resources to remain up to date. Excellent interpersonal, oral and written communication skills. Strong organizational and project management skills. Collaborate with teams with professionalism, integrity. Working knowledge of Microsoft Office Suite with at least intermediate excel skills. Experience: Minimum of five (5) years of experience managing physician practices and ten (10) years of experience in healthcare management. Salary Range USD $85,000.00 - USD $95,000.00 /Yr. This range serves as a good faith estimate and actual pay will encompass a number of factors, including a candidate’s qualifications, skills, competencies and experience. The salary range or rate listed does not include any bonuses/incentive, or other forms of compensation that may be applicable to this job and it does not include the value of benefits.
