Primary Duties/Responsibilities: Standardize processes, reports, and procedures to ensure accurate, timely, and complete information is created to satisfy the needs of the United States Postal Service, internal, and external customers. Accountable for reporting mailing information and delivery facts so that the platform operations can be measured for continuous improvement goals on postage costs, USPS regulatory compliance, mailing preparation quality, information accuracy, and timeliness of reporting. Coordinate the daily reporting and postage reconciliation activities across the platform to support the mailing needs of the commingle rosters and all mailing activities within IWCO operations. Maintain open and timely communications between the sites to support client mailing, postage, logistics, and delivery tracking needs. Provide digital and physical commingle volume and timing requirements to production scheduling to ensure that customer delivery requirements are achieved. Act as primary interface with USPS relationships for IWCO Operations on active mail acceptance mailing requirements and issues. Develop a process and manage mailing performance recaps after the jobs are complete for delivery, postage, and mailing cost performance to evaluate and enhance processes & procedures. Review and evaluate all available internal postage, mailing, tracking, reporting tools used to manage and monitor job level performance across the platform to ensure reporting accuracy. Responsible for establishing baseline, measurement, and enterprise reporting on Mailer Quality initiatives using IMb Full Service MicroStrategy, Informed Visibility, IWCO internal reports, and PostalOne, for continuous improvement and troubleshooting mailing quality and performance issues. Develop Onboarding Operations checklists for new client mailing procedures to ensure regulatory compliance, delivery and postage expectations, and timely postage reconciliation are realized. Primary interface with USPS Business Service Network (BSN) for Mail Irregularities and other information requests from USPS. Develop Enterprise Subject Matter Expert (SME) Postal team on all things postal related relevant to IWCO's clients and their work mix. Recommend product enhancements in all areas; software, process, techniques and reporting for USPS mailing, delivery reporting, and postal regulatory compliance. Support Finance, Leadership, Operations and Client Services teams by assisting with open issues related to postage reconciliation for all mailings as needed. Assist Enterprise Postal team as IWCO's representative on assigned MTAC and other Trade Association Workgroups as a contributor sharing the information and insights learned with the rest of our organization as new emerging requirements become relevant. Participate as directed on Sales support for clients that may consist of conductin facility tours, client presentations, conference calls, and webinars. Develop and maintain relationships with USPS BMEU manager /operations personnel to identify opportunities for improved service performance or enhanced USPS relationship potential for IWCO. Take the lead on developing and training of implementation procedures on all impacted departments for new IWCO postal product offerings. Assist in the development and application of new policies and procedures to be implemented across the platform consistent with LEAN best practices. Other duties as assigned. Required Skills/Abilities/Competencies: Excellent interpersonal, communication, and negotiation skills. Strong understanding of USPS postal rules and regulations; ability to interpret them in accordance with the USPS DMM. Ability to organize and manage multiple priorities and balance changing client and company needs. Highly detail oriented and organized. Ability to prioritize and problem solve in a fast-paced changing environment. Microsoft Office Suite proficiency. Strong mathematical and analytical skills. Ability to create and give presentations. Ability to motivate others in a team-oriented, collaborative environment. Model and foster a positive environment that drives team success. Education and Experience: High school graduate or equivalent, business or related degree preferred; technical, sales, and/or operational discipline are a plus. 3+ years' experience working with USPS, understanding all USPS regulations and requirements. 3+ years' experience in direct mail, lettershop, presort, mailing software/hardware, print, and/or fulfillment industry. Physical Requirements: Ability to work 8 hours consecutively. Prolonged periods of sitting at a desk and working on a computer. Ability to travel occasionally.
