Allegro Management Company Llc Executive Administrative Assistant in Clayton, Missouri

Love Management Company is seeking a well experienced Executive Administrative Assistant for our St. Louis office.

The primary responsibility of the Executive Administrative Assistant is to provide support in the daily operations and clerical functions to the Owner / Principal of Hallmark Investment Corporation and affiliated Love Companies, whether business related or personal related.

Areas of Responsibility

  • Transcribe audio tapes of letters/correspondences.

  • Establishes, develops, maintains, and updates files.

  • Develops, edits and distribute documents, letters, and other correspondences as directed by Owner.

  • Monitor daily calendar of appointments.

  • Provide back-up support for various department administrative staff when needed.

  • Assist with special projects and administrative support for other executive level staff.

  • Coordinate servicing of office and kitchen equipment with another executive assistant.

  • Support corporate business practices such as credit card tracking, processing of invoices, expense reporting, travel policies, and managing supplies.

  • Maintains all corporate recordkeeping to include tracking stock certificates and shareholder information.

  • Prepare correspondence, coordinate meetings and execute travel arrangements.

  • Arranging various social events and civic duties.

  • Interacting with other senior executives.

  • Prepare materials and presentations for the senior leadership team.

  • Collaborate closely with administrative teams for scheduling meetings and events.

  • Work proficiently with intercompany departments and stakeholders.

  • Generate reports and coordinate information for meetings.

  • Supports other department-wide initiatives.

  • Maintain high standards of personal appearance and grooming, which include wearing proper business attire.

  • Must know and follow all guidelines in the Vehicles policy.

  • Other duties as assigned.

Qualifications

Working Conditions:

  • Must be able to work agreed upon hours.

  • Some local travel required. Must use personal vehicle, will be reimbursed for mileage.

    Minimum Eligibility Requirements:

  • Completed High School Degree or equivalent required; associate or bachelor’s degree preferred.

  • At least five (5) years previous experience in related field preferred.

  • Must be proficient in Microsoft Office programs, such as Outlook, Word, Excel and PowerPoint.

  • Must be organized, have ability to multi-task, work independently, excellent communication skills, detail-oriented and reliable.

  • Ability to remain calm under stressful situations.

  • Strong judgement skills and appropriate communication regarding confidential matters is required.

  • Must have a positive Criminal Background Screening.

  • The Company is a drug free workplace; employees are subject to adherence to the Company Drug Free Workplace policy.

  • Must possess a valid driver's license for the vehicle being operated.

  • Must have an acceptable Department of Motor Vehicle (DMV) record; the record must be checked annually.

  • Must be insurable by the Company's automobile insurance carrier.

  • Must provide evidence of insurance coverage on personal vehicle, including limits.
