Apply for Job Job ID 12783 Location Case Main Campus Full/Part Time Full-Time Regular/Temporary Regular Add to Favorite Jobs Email this Job Job Description POSITION OBJECTIVE Working under general direction, the Grant/Accounting Coordinator assists with grant administration and accounts payable functions for the department. This position is responsible for providing grant administrative support to the Business Manager, faculty and graduate students as well as administering the accounting functions in the department. Responsibilities include grant accounting, file maintenance and coordinating invoices and receivables for the department. The coordinator handles and must be able to maintain extremely confidential material, (e.g., salaries, grant research data, etc.). This position will be supervised by the business manager. ESSENTIAL FUNCTIONS Maintain accounting/ bookkeeping records for grant accounts, data analysis (general bookkeeping). Record, file, and reconcile monthly expenses. Process reimbursements for grant accounts as well as department general use accounts. (40%) Order all supplies, and special orders for the Psychology program using the PeopleSoft Financials system. Order textbooks for courses. Maintain inventory and coordinate check-in/check-out of testing materials. (20%) Process invoices from grant subcontractors and for general department purposes, coordinate independent contractor payments, and process deposits for grants and the department. (15%) Maintain database to track grant applications and awards. (10%) Coordinate travel reimbursements and expenses for faculty, and graduate students who are supported by grant or university funds. (10%) NONESSENTIAL FUNCITONS Coordinate petty cash funds. Set up funds, track expenses, and close out funds. (2%) Perform miscellaneous clerical tasks as needed. (1%) Train and supervise the work of campus job and work-study students. (1%) Assume responsibilities for various staff members, if absent. (1%) Perform other duties as assigned. ( CONTACTS Department: Frequent contact with business manager, department faculty, and other department staff members to exchange information. University: Occasional contact with Sponsored Projects, College of Arts and Sciences Deans Office, and Procurement to exchange information. External: Occasional contact with outside vendors and grant agencies to exchange information. Students: Occasional contact with department of Psychological Sciences graduate students to exchange information. SUPERVISORY RESPONSIBILITIES This position has no direct supervision of staff employees. May direct the work of students or temporary employees. QUALIFICAITONS Experience: 2 to 3 years of related experience required. Education: High school education required. REQUIRED SKILLS Excellent communication skills: Understanding written sentences and paragraphs in work related documents. Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times. Communicating effectively in writing as appropriate for the needs of the audience. Talking to others to convey information effectively. Ability to actively learn - understanding the implications of new information for both current and future problem-solving and decision-making. Ability to operate copy and fax machines to produce and scan documents. Ability to meet consistent attendance. Ability to interact with colleagues, supervisors, and customers face to face. Excellent typing, filing and organizational skills. Must be confident, and capable of working under general direction. Proficiency in Microsoft Office software.
