POSITION OBJECTIVE

The Manager, Faculty Affairs independently oversees and coordinates the daily activities of the faculty affairs team, ensuring efficient and accurate processing of faculty appointments, reappointments, and promotions and all other faculty life-cycle processes for the School of Medicine across all five campuses. This role also leads the development and implementation of Interfolio templates and conducts regular training sessions for administrators across all five campuses. Additionally, it serves as the primary point of contact for general administration within Faculty Affairs. The position will work collaboratively and in a team environment with other Faculty Affairs coordinators to support the mission of the office of Faculty Affairs.

 

ESSENTIAL FUNCTIONS

Oversee the daily operations of faculty coordinators and department service accounts/emails, ensuring faculty and department requests are tracked and responded to promptly. Serve as the primary point of contact for general administrative inquiries related to faculty affairs, maintaining efficient communication and coordination with departments across five campuses. Lead the development and implementation of Interfolio in the medical school for faculty search, faculty appointments and promotions, and all other faculty actions submitted to the Provost for review which covers faculty actions including transfers, new appointments, emeritus appointments, requests for leave and sabbatical, outside academic appointments, secondary appointments, pre-tenure extensions and more. Create the processes within Interfolio to route in compliance with Faculty Handbook, school bylaws, and university policies which requires annual assessment and appropriate editing and tailoring as the handbook, bylaws and policies change. Manage rollout of faculty appointments, promotions and faculty searches across the five SOM campuses as scheduled for three years. Manage additional faculty processes that may be adapted to Interfolio based on the Provost's schedule in likely 2 to 4 years. (20%)

Create and implement training across all five campus and work closely with department and hospital administrators for initial rollout and ongoing training for new faculty. Serve as the point of contact in the school for all matters related to Interfolio and any related software. Maintain expert knowledge of the bylaws, faculty handbook and university policies to appropriate develop and edit trainings to meet faculty needs and provide necessary guidance to Chairs and other stakeholders in the process. Conduct needs assessment to determine where further training is required. Annually ensure appropriate access for all users, creating cases for each faculty appointment/promotion, routing for appropriate review based on location, and ongoing training for faculty, committees (over 40 across the departments, hospitals, and school), and administrators. Analyze and assess submitted materials. With each submitted faculty action, create the case in Interfolio, assign appropriate department and administrator at every level; ensure every individual on that committee is compliant in their training and has access to all of their materials. Once department/candidate materials are complete, submit the appropriate letter through the system. Verify accurateness and completeness of application and assess appropriate template to use. Analyze submitted curriculum vitae (CV) to verify appropriate rank; assess if there is any kind of close personal or professional relationship with a reviewer and determine if the relationship would be considered "close enough" and/or if enough time has passed. Analyze DCAP letter for compliance to ensure it follows standards and qualifications.
