The Colorado Springs Branch office of Cosco Fire Protection has a challenging

process and, as we grow, lead the administrative and support staff in this
location. Previous construction company administrative experience,

Cosco Fire Protection is a multi-faceted, full service fire sprinkler and
life safety systems company specializing in the design, installation,
service and inspection of a variety of automatic fire sprinkler systems and
fire alarm (life safety systems); throughout the Western United States.
Cosco Fire Protection is the largest fire protection contractor on the west
coast and is currently expanding our operations in our Colorado Springs, CO

The ideal candidate will be experienced in the following administrative
responsibilities. Job duties may include, but are not limited to:
Analyzes and organizes office operations and procedures such as bookkeeping,
preparation of payrolls, personnel, information management, filing
systems, requisition of supplies, reception phones, mail, and other
clerical and administrative support functions.
Maximizes office productivity through proficient use of appropriate software
applications such as Microsoft Office and Excel.
Service Coordination including:
Create local work orders, manage flow of National Accounts, Schedule
and/ or assist in scheduling service work to include inspections,
deficiency, and T&M work orders via Great Plains and ServiceTrade
Follow up on prior day service calls to ensure completion of work and all
information is available for billing, invoice completed work
Manage monitoring process to include booking new contracts, monthly billing
& cancellation maintenance
Service Contract Data Entry including generating annual renewals and monthly
work orders
Project coordination including: opens new jobs, sets up change orders,
appropriately bills or invoices clients for work completed, and closes jobs
for final disposition.
Accounts payable coding and submittal
Accounts receivable tracking and dispute resolution
Plans office layout, develops office budget, and initiates cost reduction
programs.
Reviews clerical and personnel records to ensure completeness, accuracy,
and timeliness. Assists in the hiring process for both union and non-union
personnel; works closely with the Human Resources Department to accomplish
this task. Maintains personnel files for the district office and ensures
copies of documents are sent to the HR department for inclusion in permanent
personnel files.
Prepares activities reports for management regarding service and contract
billings, job bids sent out, invoices processed, etc.
Maintains contact with customers and outside vendors and responds to inquiries
when management and sales personnel are not available.
Planning and coordinating team building events and holiday parties.
Minimum Qualifications:
Five or more years experience in an administrative role. Previous experience
in the construction or service industry is a plus. Office Management and
supervisory experience is a plus.
Excellent oral and written communication skills.
Proven ability to work in Excel software by creating worksheets and writing
simple formulas necessary to manipulate data.
Previous experience in using project accounting software required,
experie ce with Great Plains software is a plus.
Self-motivated and strong desire to succeed with the company.
Ability to multitask, work well independently as well as be a team player.
Must successfully complete an employment background investigation and drug
screening.

Supervisory Responsibilities: Yes - long term will manage 1-4 office
administrative staff
Preferred license or certification: Must have (or obtain within 3
months) a State of CO Notary
Education: Associate's Degree (Preferred) or equivalent experience.
