The Office of the Vice Provost for Research & Scholarship, Office of Research Administration has a job opportunity for a Grant Assistant 3 (Accounting) to work at the University of Miami.

CORE JOB SUMMARY

The Grant Assistant 3 works independently in aiding and monitoring of sponsored research accounts from award set up through closeout while adhering to University, State and Federal policies. This position plays an important role in post-award compliance in providing support to ensure proper award setup, budgets, allowable expenses and cost transfers and effort reporting.

CORE JOB FUNCTIONS

  • Performs post-award functions, including complex award setup (federal and industry contracts, Department of Defense awards and foundation agreements), budget distributions, expense monitoring, labor distribution transfers and associated communications with customers, and re-budgeting.

  • Interfaces directly with sponsors, the Office of Research Administration, the Office of Research Compliance, the IRB, IACUC and other related UM entities.

  • Reviews and approves Payroll Accounting Adjustments, working with the Effort Reporting Team and Post-Award to solve complex payroll cost transfers and associated communications with customers, re-budgeting.

  • Reviews and approves expense transactions and journal/cost transfer entries to ensure allowability, accuracy and completeness.

  • Maintains regular communications with departments and communicates with fiscal contacts at funding source for problem resolution and information gathering.

  • Supports the sponsored programs department in education and training of principal investigators and administrators; assesses needs and resolves issues of the principal investigator related to grants accounting; performs analysis and support for projects.

  • Ensures high quality and efficient service to the research community.

  • Provides assistance to manager in the planning and implementation of innovative customer service initiatives.

  • Demonstrated knowledge of Federal regulations related to Research Administration, including the Uniform Guidance, Cost Accounting Standards, Federal Acquisition Regulations, and major Federal funding agency guidelines.

CORE QUALIFICATIONS

Education:

High School diploma or equivalent. Associates in Business, Finance or Accounting preferred.

Experience:

Minimum 3 years of relevant experience including 1 year of research administration experience. Any appropriate combination of relevant education, experience and/or certifications may be considered.

Knowledge, Skills and Attitudes:

  • Ability to work independently with minimal supervision

  • Demonstrated knowledge of Federal regulations related to Research Administration, including Uniform Guidance, Cost Accounting Standards, Federal Acquisition Regulations, and major Federal funding agency guidelines.

  • Excellent computer skills and facility with using MS Excel (sorting, pivot tables, filtering, basic formulas).

  • Excellent mathematical and analytical skills.

  • Excellent communication skills, Ability to translate and summarize numbers into an understandable narrative to others.

  • Ability to communicate effectively with a diverse group of individuals and in both oral and written form.

  • Ability to evaluate and resolve complex issues.

  • Demonstrated experience using institutional systems.

  • General knowledge of office procedures and operations.

  • Skill in data entry with minimal errors.

  • Ability to accurately prepare and maintain records, files, reports and correspondence.

  • Skill in completing assignments accurately and with attention to detail.

  • Ability to analyze, organize and prioritize work under pressure while meeting deadlines.

  • Ability to process and handle confidential information with discretion.
