A prestigious financial institution based in Dallas, TX is looking for an Administrative Assistant to join their team! As an Administrative Assistant you will provide essential support in a fast-paced, team-oriented environment, managing calendars across multiple time zones, scheduling meetings, coordinating complex travel arrangements, and interacting with business leaders and clients. Additionally, the administrative assistant will be responsible for general administrative duties, process expenses, maintain confidential information with discretion, and adhere to compliance regulations
Administrative Assistant Responsibilities:
Provide administrative support in a collaborative, team-oriented environment with flexibility to assist multiple teams as needed.
Manage complex calendars across multiple time zones, prioritizing meeting requests and coordinating phone/video conferences.
Handle high-volume phone calls, take accurate messages, and interact professionally with business leaders and clients.
Coordinate domestic and international travel, including visa processing, and manage expense reports in a timely manner.
Organize internal and client meetings, including booking conference rooms, arranging catering, and ensuring all materials are prepared.
Perform general administrative tasks such as document management, filing, mailing, and processing time entries.
Maintain strict confidentiality when handling sensitive client and business information.
Stay proactive and aware of team priorities to provide seamless support.
Ensure compliance with company regulations and obtain necessary approvals.
Qualities of a successful Administrative Assistant:
Experience as an Administrative Assistant supporting executives in a complex environment, preferably in financial services, private sector or government.
Ability to exercise excellent judgement and discretion in dealing with confidential material or handling highly sensitive information.
Excellent interpersonal skills and teamwork; ability and willingness to work collaboratively amongst assistant team based both locally and globally
Calm under pressure, can prioritize and handle multiple tasks efficiently and effectively in a busy environment
Requires excellent interpersonal and communication skills, both written & verbal. Ability to display a consistent, professional degree of communication.
Extreme attention to detail and organizational skills, with ability to prioritize tasks.
Quick learner and self-starter with excellent anticipation skills.
Pro-active problem solver and independent thinker; ability to follow-up as often as necessary.
Highest degree of integrity, professionalism, and diplomacy is required.
Strong proficiency in MS Word, Excel, PowerPoint, Outlook and Zoom is required.
Familiar with expense platforms such as SAP Concur
