The Bookkeeper is responsible for maintaining the bookkeeping system of the Black Bear Resort. This includes managing recurring and non-recurring monthly bills such as sales tax calculations, filing quarterly reports, cleaning contracts, and payments to vendors. The Bookkeeper will interact with and provide budgetary support for the Resort Board of Directors Treasurer. The primary responsibilities of the Bookkeeper include paying bills from the BB&T online bill pay system, adding accounts receivables and payables into QuickBooks monthly, reconciling owners' payments from BB&T and applying them to QuickBooks, entering work orders into QuickBooks and preparing invoices, maintaining a system for petty cash and daily cash bank, preparing bank deposits and entering them into QuickBooks, reconciling bank statements each month, filing all bills and maintaining a filing system, keeping track of vacation/sick days and overseeing payroll with the office manager, maintaining a system to track spending on the company credit card and entering it into QuickBooks, maintaining a work order system, maintaining the budget, and preparing reports as needed. The Bookkeeper will also have specific rental program duties, such as working with the broker to complete month-end and maintain throughout the month, entering work orders and cleanings into VRP and QuickBooks, posting all credit and cash/check deposits into QuickBooks, entering all owner statements into QuickBooks, working with the broker to reconcile and ensure accuracies each month, and preparing the cleaning bill and entering it into QuickBooks. In addition to these responsibilities, the Bookkeeper must understand the VRP and reservation system, work with receptionists and the office manager/broker on new systems at Black Bear Resort, answer owner questions regarding payments and statements, and conduct additional duties as assigned. It is essential that the Bookkeeper conducts all official BBR business and activities in a manner that avoids actual, potential, and perceived conflicts of interest between themselves, BBR, BBR homeowners, government officials, and the communities of West Virginia. Pay will be based on experience.
