Overview

The Aircraft Support Administrator provides support to Senior Director of Aircraft Support, Chief Engineer, and Aircraft Maintenance support team in the management of Regional Ones aircraft maintenance projects including aircraft teardowns and other programs/projects. Duties include assisting with gathering data, analyzing, and organizing documents, data entry, tracking vendor invoices and the invoice approval process, and interacting with vendors.

Specific Accountabilities

  • Assist with organizing, collecting data including important documents related to aircraft maintenance and storage costs.
  • Manage the approval process for aircraft maintenance contracts and/or invoices including collecting, organizing, and managing vendor contracts/invoices for timely processing.
  • Organize and maintain a database for all documents received related to aircraft maintenance projects including maintenance contracts, third party proposals, invoices, and other documents generated throughout the project life cycle.
  • Create purchase orders to process pre-approved vendor contracts and/or invoices to enable invoice reconciliation and payment.
  • Coordinate, liaise, organize, and prioritize vendor payments with company, sister company, and Joint Venture partner Accounts Payable teams and vendor Accounts Receivable team.
  • Coordinate and Track company vendor approval status with Quality Assurance dept. for aircraft maintenance vendors including third party vendors involved in the process.
  • Assist with tracking key maintenance activity milestones.
  • Organize and prepare non-conformance report for teardown removal tag discrepancy corrections.
  • Liaise with Quality Inspector(s), internal, and external stakeholders to clear discrepancies reported during the receiving process.
  • Assist with the maintenance of the Aircraft Teardown Tracker.
  • Assist with coordinating various activities related to aircraft maintenance and liaise between various internal departments and stakeholders.
  • Coordinate with Accounts Payable regarding priority payments and vendor invoice(s) reconciliation(s)
  • Perform WIP account reconciliation monthly with Accounts Payable.
  • Assist with compiling reports as required.
  • Assist with the collection, organization, and mailing of aircraft registration cards.
  • Coordinate with Legal and Contracts to collect documents that are required to ferry aircraft.
  • Occasionally interact with vendors to clear documentation and/or invoice discrepancies
  • Other duties as assigned.

  • Ability to work independently
  • Aviation industry experience is preferred but not required
  • Experience in organizing data and performing data analysis
