RES Office Administrator in Denver, Colorado

Summary:

This role sits at the front desk to greet employees and visitors and assist with daily operations. This position supports the Denver office and is not eligible for a hybrid work schedule.

Requirements:

  • Directs office activities and functions to maintain efficiency and compliance with company policies.

  • Performs Office Administration duties, including vendor management, safety procedure compliance, and ordering of office supplies.

  • Analyzes all incoming facility invoices to verify all pricing was accurate.

  • Processes all incoming mail and distributes it to appropriate departments.

  • Maintains all office equipment, including the copiers and mail postage machine.

  • Vendors to include technicians for repairs and companies that provide services to the office.

  • Research new vendors.

  • Maintains facilities, including unloading the dishwasher, cleaning countertops, maintaining a clean, organized, and well-running office, desk setup, and stocking supplies.

  • Acts as a liaison with the building management company on building issues that arise.

  • Serves as the primary administrator for Corporate FedEx account, parking, and RTD EcoPass.

  • Assists with the onboarding process of new employees by performing desk setups, taking photos for security access cards, and issuing and acting as a resource for questions.

  • Answers the main phone line, forwarding calls to the correct individuals as needed.

  • Greets all visitors and manages the reception area.

  • Attends work regularly and punctually, as scheduled or expected.

  • Complies with Employee Handbook, Code of Conduct, and Company Policies & Procedures.

Additional Responsibilities:

  • Presents, supports, and leads-by-example with a safety and quality-oriented attitude.

  • Assists Facilities Manager with daily operations of the office and any special projects.

  • Follows safety and security procedures and determines appropriate action - reports potentially unsafe conditions and uses materials and equipment properly.

  • Backups Facilities Manager when out of the office.

Knowledge, Skills, and Abilities:

  • Strong communication skills, both verbal and written.

  • Attention to detail, strong organizational and interpersonal skills.

  • Strong initiative with the ability to identify a problem and then propose solutions to that problem.

  • Ability to work independently, prioritize projects, meet deadlines, and multitask while maintaining quality standards..

  • Ability to work with frequent interruptions and meet the needs of a diverse workforce in a high-pressure and rapidly changing work environment..

  • Excellent time management and organizational skills.

  • Ability to communicate well in person, in writing, and over the phone.

  • Knowledge of Microsoft Office and other office management tools and applications.

  • Intermediate customer service skills.

  • Basic skills in Microsoft Office applications, including Word and Excel.

  • Team player with a positive attitude.

  • Functional competencies include accountability, attention to detail, collaboration, passion, and customer focus.

Qualifications:

  • High School Diploma/GED required.

  • Associate’s degree preferred.

  • 2 or more years of related experience or similar experience as an office assistant, facility coordinator, office administrator, or in another relevant position, required.

Anticipated base salary range: $20.67 - $24.52

The final agreed upon compensation is based on individual education, qualifications, experience, and work location. This position is bonus eligible.
