POSITION SUMMARY
The Specialist OS&E Project Service, EMEA will report to the Director, OS&E Project Service, EMEA. The role is pivotal role within the department supports the business and provides administrative and operational support to the projects and team (both in the office and on-site in the field).
SCOPE
The Specialist, OS&E Project Service, EMEA provides specialized support to the OS&E Project Service Team for specific related administrative, financial and OS&E project-related duties as well as operational support
Location requirements: The Specialist, OS&E Project Service, EMEA is to be located at the Europe Office – Eschborn.
Language Requirements: High proficiency (speaking, reading and writing) in English is required.
Travel Requirements: There is an insert 20% business travel required.
EXPECTED CONTRIBUTIONS
Administration
Lead in setting up specifications as needed and in cooperation with the OS&E Project Service Team and specifications team
Create and own the PowerPoint presentations and selling tools for 5SU projects
Produce and lead team presentations and other related documents as required.
Maintains, collates and distributes all relevant activity reports.
Sources for new non-food vendors to extend and consistently revamp the OS&E supplier portfolio
Implements new supplier samples in the showroom and maintains the setup
Maintains and updates vendor portfolios on team-shared folders.
Creates and maintains computer-based filing and organization systems for records, reports and documents
Maintains confidentiality of information and proprietary materials.
Performs other related tasks as assigned by management.
Maintains MGS for the OS&E Project team
Complies with Marriott Hotel Holding GmbH and Marriott International Hotels Limited Regional Office policies and procedures.
Supply and manage OS&E Project team and Specification team with all relevant Oasis details and submit bi-weekly an updated property list
Project Management
Verify and complete budgets based upon given criteria and project listings for OS&E projects across all brand segments
Co-ordinates the ordering for MUR projects
Arrange MUR reviews and assist the managers on-site
Update the guest room matrix for each brand against the latest BSA requirement and update vendor details if required
Oversees with OS&E team with the delivery process of operating supplies
Supporting the OS&E team member in maintaining the project Cashflow for smaller projects
Financial and Account Management
Maintains and updates the project pipeline
Invoices clients via BGATE for all contracted services
Prepares bi weekly a credit report regarding all outstanding invoicing to be share with Dir of OS&E specification
Manages / tracks multiple billing accounts for charge outs
Maintains and creates OS&E internal financial reports
Assists Managers in the preparation of various account-specific reports.
Analyzes the OS&E financial report for representative internal presentations
Updates cost of goods and files including programs
Property Support
Assists in the support of all affiliated properties across and various business functions across designated continent or countries
Supports hotels on a day-to-day basis by providing feedback on pricing, specifications, standards, etc.
Maintains communications between company–affiliated hotels – continent offices
Develops and provides communications of new contracts to the various disciplines in the field
Work closely with brand and property operations to evaluate guest engagement as it relates to OSE and based on guest feedback identifying solutions to improve the overall experience.
Ensures maximum leverage is obtained within the continent properties to ensure full advantage of given leveraging opportunities
CANDIDATE PROFILE - KEY TALENTS AND EXPERIENCE DESIRED
REQUIRED :
Knowledge of Marriott International's key brands and strategies preferred
Strong administrative background.
Strong background on creating MS PowerPoint presentations as well as Ms Excel
Pro-active approach to tasks and duties and able to use own initiative
Ability to effectively communicate with co-workers and hotel opening teams
Flexibility dependent on business needs
PREFERRED SKILLS AND KNOWLEDGE:
Ability to design and implement successful tracking of documents and spreadsheets.
