Schedule: FTE 1.0, Mon - Fri: 8:00AM - 5:00PM PST, Onsite, Day
Provides executive and administrative support to the Providence General Foundation and the Foundation's Board of Directors. Assists the Chief Philanthropy Officer with ongoing board management and communication, financial management and oversight, intake and acknowledgement of philanthropic gifts and general office support for the entire foundation team.

Executive & Office Support Duties:
Assist Chief Philanthropy Officer (CPO) with calendaring, board management, budgeting and accounts payable, and financial reporting.
Board Management Assistance
Assist CPO with Board Member communication, term management, and compliance
Assist CPO with Board Meeting facilitation (scheduling, agendas, minutes, Zoom)
Facilitate logistics of board meetings, board retreats, socials, and other board events
Assist with funding requests from Providence departments and community and follow up after grants are awarded to report impact
Greet visitors to Foundation Office, answer and transfer phone calls, monitor USPS mail and general foundation emails and inquiries
Assist CPO in maintaining Foundation Policies, Bylaws, and other governance documentation
Order office supplies and maintain overall professional office environment of Foundation Office
Support Foundation team members in fundraising efforts and event coordination
Special projects as assigned.
Financial & Data Support Duties:
Assist CPO with development and monitoring of Foundation budget
Intake of gifts (cash, checks, online, payroll deduction, and event giving) and liaison with System Shared Services to ensure accurate entry of gifts in donor database
Process donor gift receipts
Process Accounts Payable and intra-departmental distributions using Financial Edge Software.
Monitor Foundation banking accounts, make bank deposits, and manage transfer of funds
Assist CPO with collecting data for Annual Financial Audit, 990, and 1099 reporting
Update donor information in donor database (DREAM)
Run donor database queries and reports
Required Qualifications:
5 years Providing administration or office support for management or teams, preferably in the healthcare field
Calendar Management experience
Experience in managing multiple tasks efficiently in a busy work environment
Preferred Qualifications:
Bachelor's Degree
2 years Board / Committee support experience
Project and Database Management experience
Maintaining internal processes, shared digital platforms
Experience with SharePoint, OneDrive, FinancialEdge, Boardvantage, Donor Databases
1 year experience supporting an executive or senior director level leader
