Shire AP Supervisor in Exton, Pennsylvania

Primary Duties

The Accounts Payable Supervisor will be responsible for directing and coordinating all aspects of vendor invoice processing and vendor payment functions for Global Business Services (GBS). In addition, a significant portion of this role will be utilized to ensure SOX compliance while obtaining maximum efficiency and effectiveness in our processes.


  • 30% Oversee the day-to-day activity of the Accounts Payable group. Provide necessary supervision, guidance and mentoring to accounts payable staff. Ensure annual career development plans are prepared. Oversee the preparation of the year-end IRS Form 1099’s for all non-incorporated payees for review by the Tax Department. Assist Manager with month-end, quarter-end and year-end closing procedures and reporting schedules. Ensure sensitive and confidential information is handled appropriately.

  • 25% Will have regular and on-going interaction with employees at all levels as well as outside suppliers. Maintain sufficient records to support expenses and payments to vendors. Coordinate payment timetables through communication to functional business managers and accounts payable staff. Review and approve new vendors in the accounts payable system. Work with the Supplier Registration team for any questions regarding duplicate vendors and general vendor questions. Monitor all recurring rent and tax payments to vendors. Monitor and assure all past due invoices are approved and processed.

  • 25% Assist in developing policies and procedures that support Shire’s business objectives and ensure the effective and efficient processing of financial information to support Shire’s global growth. Act as a financial information resource and be a proactive business partner supporting all of Shire’s operations. Ensure compliance with all federal, state and local statutory and government reporting requirements.

  • 20% Perform special projects as required.

Education and Experience Requirements

  • BA / BS Degree in Accounting, Finance or related field.

  • Experience in service-oriented or regulated industries is desired.

  • Experience with SAP and/or JD Edwards would be a plus

  • Minimum of 5 years’ experience with at least 2 years of management / supervisory experience

  • Must have demonstrated analytical skills and the ability to translate numbers and processes into meaningful conclusions and action plans.

  • Outstanding people management skills are needed in this role. Must have the ability to encourage, develop and coach a staff of 7-10 well-trained individuals performing both clerical and processing duties.

  • Excellent communication and interpersonal skills are needed. Must have the ability to interact with peers as well as senior management throughout the Company; building relationships will be a key success factor for this position.

  • Another key success factor will be the ability to handle ambiguity and to deal effectively with a constantly changing environment.

  • A demonstrated customer service focus will be critical for this position. This is a service organization and that will require the highest commitment to understanding customer needs and meeting/exceeding their expectations.

  • The incumbent should be high-energy, creative and enthusiastic.

Complexity and Problem Solving

  • Good knowledge of the various systems used by Shire for Procure to Pay and Accounts Payable

  • Dealing with changes to the Delegation of Authority matrix, on an ad hoc but also a “wholesale” basis

Internal and External Contacts

  • All of PA based GBS and Dublin based GBS

  • All internal colleagues involved in the process to procure and pay for goods and services at Shire

  • Internal business users related to AP & Procure to Pay

  • External vendors

  • Others as arising from ad hoc tasks assigned

Other Job Requirements

  • Occasional travel to other Shire locations may be required.
