Purpose and Scope
The Associate Director Operations Planning and Scheduling develops and directs
complex supply chain long and mid-term plans while collaborating internally
with all departments to ensure end-to-end integration of Sales & Operations
Planning to drive on-time in-full delivery and to maximize revenues. This
position must effectively work and communicate with all departments to develop
supply plans that deliver our marketing partners' and customers' finished
good requirements while optimizing the efficiency of the operation. The
Associate Director Operations Planning and Scheduling oversees and directs the
Scheduling team in the development of the production schedule, including the
scheduling of supporting departments, as well as weekly meetings.
Essential Duties & Responsibilities
Direct the annual Operating Plan process for the upcoming calendar year.
Lead the gathering and presentation of Sales and Operations Planning
(S&OP) inputs and proposals for approval within the monthly S&OP
meeting, including organizing and maintaining global product demand and
translating global demand into a production plan.
Plan, develop, and implement continuous improvement activities in
scheduling and planning policies in accordance with the company's strategic
plan as well as maintain and foster continual process improvements in
Tolmar's S&OP, Control Tower and Ready to Execute (RTE) processes.
Coordinate with Product Supply Chain Manager(s) and Sales teams to
aggregate global partner demands.
Monitor inventory levels and adjust production outputs to avoid under- or
over-production.
Prepare and coordinate the preparation of reports and analyses outlining
progress, adverse trends and appropriate recommendations or conclusions.
Report on supply plans including Material Requirements Planning, KPIs and
department objectives in support of Board Reviews, S&OP and strategic
initiatives.
Ensure alignment between Operations and Quality teams and Finance related to
production plans; create transparency and control when changes are
introduced to the plan to ensure financial implications are anticipated in
advance and teams are aligned.
Develop and implement procedures and tools to create a controlled and
streamlined environment with a focus on defining and monitoring production
capacity, lead times and cycle time.
Interpret data and analyze results while ensuring quality and accuracy to
enable better business decisions.
Analyze demand against capacity to suggest appropriate changes to headcount
requirements.
Identify and track Key Performance Indicators (KPIs) to drive positive
business results.
Implement best practices in demand and supply forecasting to improve forecast
accuracy.
Conduct ongoing reviews of forecasts and actuals against capacity to improve
confidence of financial projections.
Review customer orders, production schedules, ERP reports, shipping
schedules/forecasts and vendor forecasts to determine effect on supply and
communicate the impact to appropriate departments, assisting in the
re-direction of activities as needed.
Administer department budget and authorize expenditures. Develop short- and
long-term budget projections and plans.
Serve as a project leader for inventory projects (i.e. new product
launches, etc.).
Ensure all scheduling and planning duties are performed in accordance with
cGMP procedures and established priorities, policies and practices of the
company.
Implement safety stock strategies for appropriate finished goods inventory.
Collaborate with Operations departments to implement measures to ensure teams
are ready to execute efficiently.
Drive process improvements to support on time delivery of orders to
partners/customers.
Plan and conduct meetings with subordinates to ensure compliance with
established practices, implement new policies and keep employees abreast of
current changes and standards.

Knowledge, Skills & Abilities
Strong communication abilities, both written and verbal.
Knowledge of cGMP and other regulations pertinent to manufacturing
pharmaceutical products.
Strong relationship management and interpersonal/communication skills.
Excellent problem-solving and analytical skills with a high level of attention
to detail and the ability to interpret MRP (Material Requirement Planning)
information.
Excellent managerial skills with the ability to coach and mentor staff in
order to develop skills and competencies required to meet business needs.
Strong computer skills necessary - MS Word, Excel, Smartsheet, etc. with
previous ERP/MRP experience.
Ability to communicate, cultivate and maintain collaborative relationships
with all levels of the organization, including presenting to Executives and
the Board of Directors.
Ability to negotiate with and influence others to achieve divisional and
corporate goals and objectives.
