Administrative Assistant
Fort Kent, ME PT/Days Temp-to-Hire Opportunity
Job Description:
The St. John Valley Soil and Water Conservation District is looking for
an Administrative Assistant for their Fort Kent office. Excellent
part-time opening with flexible schedule options and sick leave, annual
leave, and paid holidays. PT/Days; 8:00 AM 12:00 PM, Monday Friday.
Occasional evenings and weekends required. \$18.00-\$19.00/hr.
The Administrative Assistant will support a small, dedicated staff
committed to serving the St. John Valley in supporting the wise use of
natural resources. Employee will greet and assist visitors to the
office, answer incoming calls and take messages, maintain appointment
calendars, schedule meetings, complete and file paperwork, process
incoming and outgoing mail and shipments, and assist with promotional
materials, sales, and events. Ideal candidate will have working
knowledge of standard office equipment, good organizational skills,
strong computer literacy, and excellent written and verbal
communication. Two or more years of previous administrative and/or
clerical experience required.
Responsibilities:
- Provide professional and timely customer service to members of the
public in person, on the phone, and via email.
- Respond to telephone calls and walk in requests for assistance and
direct requests to the appropriate personnel.
- Receive funds, write receipts, and make deposits.
- Build relationships with a wide range of public and elected
officials, farmers and landowners.
- Prepare agenda and record minutes for board meetings.
- Create and maintain filing and archival systems for electronic and
physical files.
- Prepare balanced and correct financial reports, monthly statements,
vouchers, write checks, reconcile, and produce the annual cash flow
financial report.
- Collect, sort and distribute incoming and outgoing mail and
shipments.
- Maintain office supplies. Responsible for evaluating need, ordering,
and stocking.
- Assist with the tree and shrub sale, seed and flag sales.
- Collect soil test samples and order new soil and water test kits as
needed.
- Attend partner organization banquets and meetings.
- Create displays for festivals, meetings, and other community events.
- Update and distribute brochures associated with sales and other
initiatives of the district.
- Facilitate the voting and counting of ballots for the annual board
of supervisor election.
- Assist in putting together the district newsletter, including
writing, updating the mailing and email lists, working with local
printer, and distributing the e-newsletter.
- Prepare/proof news releases and e-news articles for the District and
NRCS programs. Update the districts website and social media
accounts.
- Advertise and promote expansion of the Affiliate Membership Program
and collection of annual dues.
- Assist with other duties as assigned by the board of supervisors and
Development and Grants Coordinator.
Job Requirements:
- High School Diploma or equivalent education required. Associates
degree in finance, business administration, or environmental studies
strongly preferred.
- Strong organizational and multitasking skills.
- Excellent written and oral communication, as well as good
interpersonal skills and ability to work effectively with a wide
range of individuals.
- Ability to work with sensitive and protected information.
- Strong computer literacy and efficient typing skills. Familiarity
with computer software including, but not limited to; Microsoft
Word, Excel, Publisher, PowerPoint, Access, QuickBooks, Google Docs,
social media platforms, website, and int rnet applications.
- Proficient in working with numbers, budgets, finances, records.
- Must be able to lift and move 50 pounds.
- Must be able to pass a criminal background check.
Schedule: Part-time/Days; 8:00 AM 12:00 PM, Monday Friday.
Pay: \$18.00-\$19.00/hr., with sick leave, annual leave, and paid
holidays.
