In this role, you will work closely with the Inspections, Materials, and Predictive & Preventative Maintenance Coordination teams to develop, document, and implement an efficient electronic filing system, digital solutions for end-user interface, and associated work process/management system aligned to Dow’s Mechanical Integrity programs.

This system will be used across multiple business units to index and manage registered equipment inspection files, corrosion control documents, and other mechanical integrity reports. The developed program will be leveraged to the new Path2Zero facilities.

Responsibilities

  • Collaborate with the fixed asset integrity team to understand document management needs and requirements.

  • Develop a comprehensive filing system tailored to the specific needs of equipment files and reports.

  • Create indexing protocols to ensure easy retrieval and organization of documents.

  • Implement the filing system across multiple business units, ensuring consistency and adherence to established protocols.

  • Sort, scan, and file data to ensure files remain evergreen and up to date.

  • Periodically audit Computerized Maintenance Management System (SAP) and equipment records for consistency.

  • Train team members on the proper use of the filing system and provide ongoing support as needed.

  • Maintain files and monitor the filing system's effectiveness and make adjustments as necessary to improve efficiency.

  • Ensure compliance with relevant regulations and internal policies regarding document management.

  • Assist in the creation and maintenance of standard operating procedures (SOPs) related to document management processes.

  • Collaborate with IT teams as needed to leverage technology for document storage and retrieval.

Qualifications

  • A minimum of a high school diploma/GED or Equivalent.

  • A relevant two year degree or higher in a technical discipline is a plus.

  • A minimum of 5 years of relevant experience.

  • A minimum requirement for this position is the ability to work legally in Canada. No visa sponsorship/support is available for this position, including any type of permanent residency support.

  • Document Management - Receives, tracks, manages, and stores documents in order to accurately register Registration and Inspections records.

  • Electronic Filing Systems - Ability to develop and effectively utilize the electronic filing system to arrange and sort records so they are readily accessible when required.

  • Adaptability - Rapidly learn new skills and behaviors in response to changing circumstances.

  • Detail-Oriented - Pick up on small discrepancies during review and in turnover documentation to ensure records meets regulatory codes and standards.

  • Teamwork - Work collaboratively in a group to achieve a common goal or complete a task in the most effective and efficient way.

  • ​Communication - Clear and open communication is essential for teamwork. This includes actively listening to others, providing constructive feedback, and ensuring everyone is on the same page.
