Administrative Office PA Courts Administrative Assistant - Judicial Education in Harrisburg, Pennsylvania

This is a State-level position for the Pennsylvania Judiciary.  It involves providing administrative support to Judicial Education. The department is responsible for supervising the development of ongoing judicial education and monitoring and reporting on compliance with continuing judicial education requirements. The Administrative assistant also supports the Pennsylvania Continuing Judicial Education Board of Judges and the Pennsylvania Conference of State Trial Judges Education Committee and works closely with other AOPC departments.

Typical Duties

  •  Collects, organizes, evaluates, and shares information about departmental activities through reports with the Judicial Education Director.
  •  Supports the department by drafting correspondence, coordinating meetings, and organizing conference calls.
  •  Answers Judicial Education phone/email inquiries and provides information or forwards to appropriate staff.
  •  Manages and processes mail.
  •  Maintains the department calendar and filing systems, both electronic and hard copy.
  •  Processes faculty expense vouchers.
  •  Copies the conference course material into the course files.
  •  Sends book invoices to those who owe and tracks payments. Also, handles deposits.
  •  Coordinates Posters for Conferences.
  •  Sends blast emails to all judges regarding upcoming programs, courses, etc.
  •  Requests vehicles for JED use.
  •  Orders supplies for the department and CJE Board of Judges.
  •  Inputs course evaluation results into a database.
  •  Coordinates CJE Board meetings.

Minimum Qualifications

  •  Bachelor's degree and one year of experience working in a professional setting OR
  •  An equivalent combination of education, experience, and/or training may be considered.

Additional Requirements / Preferences:

  •  Proficient in MS Office Suite, Webex, Zoom, Adobe Pro, SharePoint, and Excel.
  •  Driver's license required.
  •  Some overnight travel statewide may be necessary.
