Job Summary

The Financial Coordinator and Program Assistant provides administrative and clerical support for the Osher Lifelong Learning Institute (OLLI). S/he prepares and maintains all OLLI financial records and ensures compliance with all fiscal and other university policies in the execution of financial operations for OLLI. S/he also provides administrative support to the OLLI Director and all OLLI constituents in day-to-day operations.

Primary Duties and Responsibilities

  • Maintains and reconciles operating budget, including payroll, forecasts expenses, identifies discrepancies, makes budgetary recommendations to the Director, monitors Foundation funds including endowments, spending allocations, and annual giving. Exercises fiscal responsibility for the collection and deposit of fees.

  • Executes all purchase orders/procurement card transactions and receiving of goods, services, and reimbursement through the University and for various payments processed through the Foundation. Maintains files for reconciliation, statements, and receipts. Responsible for the purchase of commodities, equipment, repairs and contractual service activities. Serves as liaison to university units including Business Office, Controller, and Procurement and Contract Services.

  • Initiates and processes University forms including instructor time sheets, interdepartmental invoices, facility rental agreements, and travel forms. Assists Director with correspondence related to membership renewal fees and lapsed memberships, prepares materials for finance committee and other meetings.

  • Assists with scheduling and promoting of classes; interacts with new and current members to assist in membership recruitment and class registration; maintains and updates Hattiesburg membership, registration, and communication databases.

  • Assists with coordination, promotion, and execution of OLLI events, including art receptions, business meetings, recruitment and retention events, registration, training sessions, socials.

  • Performs other duties as assigned.

Minimum Qualifications

At least a high school diploma, and demonstrated experience in bookkeeping, customer service, and/or community-based education programs.

Knowledge, Skills & Abilities

Demonstrated communication, interpersonal, management, and technical skills; use of education registration software, Formstack and CampusCE, and financial software program Blackbaud; proficient use of Microsoft Office; and ability to be successful in a fast-paced environment.

Preferred Qualifications

Prefer candidates with some knowledge of Southern Miss financial processes, some college coursework or a bachelor’s degree with experience in preparing financial and other reports, marketing, customer service, and/or community-based education programs with constituencies 50 years of age or older.
