Job Summary

The Graduate Admission Specialist must have the ability to learn procedures and activities of graduate admissions; communicate with and advise prospects, faculty, and academic schools individually via phone, email, and/or in person on matters related to admission. The position works extensively with the computerized customer relations management system (CRM) by processing application files for graduate admission consideration (enters transcript data, determines accreditation of transcript institution, calculates GPA, verifies authenticity and enters test scores) and prepares files for school review. This person must have the ability to think critically about processes, self-correct mistakes and report them as necessary.

Primary Duties and Responsibilities

  • Processes graduate admission application files. Enters transcripts, GPA, test scores, and other data into the Radius automated graduate admission system and prepares files for program admission review. Communicates with prospective graduate students regarding the use of application software and about any missing items necessary for admission. Verifies authenticity of test scores and transcripts; determines if an institution is accredited.

  • Performs GPA calculations on all admissions applications and ensures all necessary application requirements are met in order to complete the application process. Publishes official decision letters into student portal once final decisions have been sent from programs.

  • Communicates with potential graduate students. Responds to email inquiries regarding Graduate Admissions. Answers telephone calls regarding: admissions requirements, status of admission application including portions of missing application documents, and departmental questions regarding prospective students.

  • Imports GRE/GMAT scores from test databases to Radius on a daily basis and updates test requirements on applications. Handles all processing of electronic transcripts sent from institutions through third party vendors.

  • Maintains other data processing needs in the admissions office including, but not limited to: updating immunization records in SOAR and assigning/releasing holds on accounts as needed; processing application fee waivers; updating change of start terms; oversees the duplicate management process in Radius.

  • Assists with training new employees, graduate assistants, and student workers in admissions application database.

  • Performs other duties as assigned.

Minimum Qualifications

High school diploma

Knowledge, Skills & Abilities

  • Knowledge of PeopleSoft or similar database; Microsoft Word and Excel.

  • Must have excellent organizational skills, accuracy, and attention to detail.

  • Must have proven ability to work independently as well as effectively in teams. Flexibility, a positive attitude, and exceptional work ethic are essential.

  • Excellent oral and written communication skills and demonstrated editing, proofing and writing experience. Ability to write clear and concise correspondence; ability to interact effectively with various stakeholders.

  • Demonstrate ability to interact with faculty, students, and staff in a professional manner.

  • Must have strong customer service focus with demonstrated commitment to creating a positive work environment.

  • Open and ongoing communication and follow-up with direct supervisor are essential.

  • Must demonstrate ability to present ideas to increase efficiency.

Preferred Qualifications

Experience using Radius CRM and Peoplesoft is preferred.
