    Part-time (.50 FTE) Afternoon General Secretary II/Attendance

    Helena School District has an opening for a four (4) hour per day ten (10) month General Secretary II/Attendance at Helena High School. Under general supervision, this position prepares and maintains records and reports concerning student attendance, and performs related work as required. At Helena Public schools, our vision is to foster dynamic educational experiences that prepare all students for life. As a General Secretary II at HHS, you contribute to this mission by assisting students, parents, and members of the school community. Some of what you will do:

  • Issue class-admit slips, tardy slips, corridor passes, and off-campus passes to students.

  • Answer the telephone, routes calls, takes messages and/or provides factual information to the caller.

  • Maintain a log of incoming calls from parents listing students who will be absent; telephone absent students’ parents to ascertain reason for absence.

  • Maintain master file of students leaving school for various reasons each day.

  • Review notes brought by students for forgeries and other discrepancies; carefully audits all lists and files to eliminate legitimate reasons for absence before referring students for cutting a class.

  • Input, mody and retrieve student attendance information, class schedule changes and other data using a computer terminal and scanning equipment.

  • Compile periodic attendance reports; monitor absenteeism and provide information to teachers and administrators regarding student attendance.

  • Prepare and type reports, correspondence and forms.

  • Establish and maintain files such as a current program file, student class lists, correspondence, suspension, release and other student records.

  • Refers homework to absent students upon parent request.

To become part of this dedicated team, you need:

  • High School diploma or equivalent.

  • At least one (1) year of secretarial experience and/or training.

  • Or an equivalent combination of education, training and experience as determined by the District.

Essential functions of the position include the ability to regularly lift and/or move up to 40 pounds with or without a reasonable accommodation. Current level salary range is $18.16 to $19.43 per hour depending on applicable relevant work experience as determined by the District and includes a comprehensive pro-rata benefit package.
