Willamette Dental Relief Receptionist in Hillsboro, Oregon

This position is the first point of contact for visitors to the office. Greeting and directing visitors at the company’s administrative offices. The Corporate Receptionist operates a multi-line phone system, directing calls to all dental office locations and administrative departments. Provide administrative support to multiple departments as requested.

Essential Position Functions

  • Operate multi-line (Mitel) phone system. Warmly direct calls to appropriate office locations and administrative departments.

  • Greet and direct visitors and guests at the company’s administrative offices.

  • Provide callers with information such as company address, directions to the company location, company fax numbers, company website and other related information.

  • Maintain and update all changes to the corporate phone directory and phone system on the intranet.

  • Maintain and update the official company calendar on the intranet.

  • Provide back-up support for mailroom.

  • Provide assistance in UPS shipments.

Non-Essential Position Functions

  • Coordinate maintenance requests for building and equipment with the Facilities department.

  • Provide administrative support to departments such as preparing shipping labels, word processing and bulk mail assistance.

  • Ensure the main lobby is clean and orderly.

  • Place all office supply orders with Office Depot.

Job Qualifications

High school diploma or equivalent is required OR equivalent combination of education and experience which will provide the ability to perform the essential functions of the position. Two or more years work experience in an office or corporate reception work environment is preferred.

Knowledge of:

  • Customer service best practices.

  • Multi-line phone systems.

  • Operating standard office equipment.

Skill in:

  • Communicating effectively and professionally with a wide range of audiences. Excellent listening and verbal communication skills.

  • Microsoft Outlook, Word, Excel and ability to learn new software.

  • Prioritizing and organizing projects and tasks in a timely manner.

Ability to:

  • Work independently and communicate professionally and effectively with the employees and the public.

  • Capture telephone and voice mail messages accurately within the correct context.

  • Keyboard by touch, ability to pay close attention to detail and manage multiple priorities.

  • Maintain a professional demeanor at all times.

  • Sit for long periods of time.
