Summary
The Office Assistant is frequently the first contact for clients and
visitors. This provides secretarial, clerical, and administrative
support to ensure that services are provided effectively and
efficiently.
Essential Duties and Responsibilities
Greet and assist all incoming clients and agency visitors; direct all
people to the appropriate location and services. Answer and direct all
incoming phone calls, check voicemails at the beginning, end, and
throughout shift; take and relay messages according to procedures.
Assure the readiness of the reception area for each working day/shift;
open the building at the designated time and have all front desk
activities fully operational at the start of business hours. Work
collaboratively with the clinical and administrative teams to assist in
communication with clients ensuring efficient flow of daily operations.
Assist client in accurately completing appropriate forms and documents
all information according to procedures. Determine the financial status
of clients and verify their insurance eligibility or sliding fee scale
eligibility following the procedure. Collect and apply payments
according to procedure.
Schedule appointments as needed; date entry of new client data in EHR
system as needed; Scan/upload/enter all new client paperwork-Referrals,
insurance cards, ID cards, social security cards, birth certificates,
certificates of Indian Blood, Sliding fee Scale paperwork according to
procedure.
Respond to referrals received if no contact has been made by a client to
enroll within the required timeframe specified by the referral source.
Filing of sign-in sheets, staff memos, miscellaneous forms, and paper
charts as needed.
Send/respond to emails by policy, collect incoming and outgoing mail
according to the procedure; Keep all internal keys to filing/supply
cabinets secure and ensure all are locked in the designated box at the
end of the day/shift; Update reception area whiteboard monthly post
announcement and office closures as needed.
Attend and participate in staff meetings and training; Adhere
to/maintain client confidentiality according to HIPAA and
Confidentiality of Alcohol and Drug Abuse Patient Records (42 CFR Part
2); Knowledge of and compliance with WGA and procedures; other duties as
required or assigned.
