Library Supervisor: Finance Manager: We seek a Finance Assistant to
support our library\'s financial operations and contribute to our
mission of fostering lifelong learning and literacy. Job Description:
detail-oriented and proactive Finance Assistant to assist with various
financial tasks related to library operations. The ideal candidate will
have a strong understanding of financial principles, excellent
organizational skills, and a passion for supporting community-oriented
initiatives. Essential Functions: (The essential functions or duties
listed below are intended only as illustrations of the various types of
work that may be performed. Collect and organize invoices and packing
slips from vendors for approval by the director, ensuring accuracy and
completeness of documentation prior to submission for payment. Support
requisition entries in Munis by coordinating documents such as approved
invoices and packing slips, to initiate the procurement process
efficiently and accurately. Manage the purchase order process from
inception to approval and reconciliation, adhering to company policies
and procedures to ensure compliance and accountability. Act as a liaison
between vendors and internal stakeholders to promptly resolve purchase
order-related issues and discrepancies, fostering positive relationships
and maintaining clear communication channels. Reconcile financial
discrepancies by meticulously collecting and analyzing vendor account
information, guaranteeing precision in financial reporting and
accountability. Digitize invoices, packing slips, paychecks, purchase
orders, and requisitions, utilizing digital platforms to streamline
record-keeping and enhance accessibility. Prepare deposits accurately
and maintain meticulous records of financial transactions, ensuring
transparency and accountability in financial operations. Provide
comprehensive administrative support to library staff, including
managing correspondence, responding to inquiries, and organizing
schedules effectively. Coordinate and manage petty cash for the front
desk, ensuring accuracy and adherence to established procedures. Order
and maintain inventory of office supplies and equipment for library
departments, ensuring optimal resource availability and functionality.
Demonstrate flexibility and adaptability by performing other duties as
assigned to support the library\'s financial operations and
administrative functions, contributing to a collaborative and dynamic
work environment. Requirements: ? Associate?s degree in finance,
accounting, or related fields. Prior experience in finance or
accounting, preferably in a nonprofit or public sector environment.
Strong understanding of financial principles and practices, with
proficiency in Microsoft Excel and other financial software. Excellent
organizational and time management skills, with attention to detail and
accuracy in financial data entry and analysis. Ability to work
effectively independently and as part of a team, demonstrating strong
communication and interpersonal skills. Strong problem-solving abilities
and a proactive approach to tasks, with the ability to maintain
confidentiality of financial information. Experience with fund
accounting and governmental accounting standards. Knowledge of library
operations and familiarity with library management systems. Ability to
work independently and as part of a team in a fast-paced, dynamic
