Program Coordinator - GI Medical Oncology

SUMMARY

The primary purpose of the Program Coordinator position is to coordinate educational and administrative activity for the Department of Gastrointestinal Medical Oncology. Coordinates activities related to appointment, reappointment, onboarding and orientation of GI postdoctoral fellowship and research trainee programs.

JOB SPECIFIC COMPETENCIES

Department Trainee Program Coordination 50%

· Coordinate administrative responsibilities for the department's research trainee programs, fellowship and residency programs

· Coordinates program appointments, reappointments, and training rotations for postdoctoral fellows

· Provides routine various administrative support services to trainees (residents, postdoctoral fellows, students)

· Coordinates onboarding for new trainees, issues laptops/desktops, orders lab coats, scrubs, business cards, mobile phones, requests badge access, submit software requests, ensures resident office space is fully functional for incoming trainees

· Responsible for facilitating orientation and assigning training plans for trainees and observers.

· Coordinates physical resource utilization including space planning, inventory and property control as it involves educational activities

· Coordinates meeting logistics for weekly GSBS classes - book conference room, A/V equipment, if needed, catering, notify all attendees, etc.

· Liaison with Global Academic Programs, Trainee & Alumni Affairs and Global Business Development on the recruitment and onboarding of educational appointments

· Assists faculty with GSBS course by establishing and managing an internet-based learning hub

HR Administration/Trainee Processing 25%

· Responsible for managing the application process in Slate for program trainees, tracks application process and reports status to the applicants and operations manager throughout the process

· ePAF creation and appropriate actions to be taken as it pertains to appointment type

· Coordinates VISA processing for trainees

· Oversee the application process, prepare written documents, visa paperwork, reappointments, transfers, and special requests (i.e., appointment extensions) memos and obtain signature approval from faculty mentor

· Ensure collected forms are accurate and reflect the correct information in accordance to specific guidelines

· Maintain familiarity with the various admission requirements and institutional policies

Departmental Support 25%

· Serve as back-up support for all GI sponsored conferences by confirming case facts, coordinating and distributing presentation material/handouts, agendas and sign in sheets.

· Assist with managing the Department's website by ensuring that the content is accurate, and monthly updates including but not limited to departmental contact information, research initiatives & current medical trials

· Creates documents/forms/databases utilizing available computer software

· Assists faculty and classified employees with visa application and renewal processes

· Special projects as assigned by the Department Administrator and/or Operations Manager

Other duties as assigned

Education Required - Bachelor's degree in Business Administration or related field.

Education preferred: Master's degree.

Experience Required - Three years project/program coordination experience. May substitute required education degree with additional years of equivalent experience on a one to one basis. With preferred degree, one year of required experience.
