Basic Function Under supervision, performs a variety of
administrative tasks and clerical work involving the use of typing
skills, filing, and organizational skills, along with related office
functions. Ability to cross-train with Administration and Finance to
fill in as necessary for general assistance.
Essential Duties and Responsibilities Manages communications and
work order system to intake, validate, prepare, and track completion of
work order items; Running a one-call system to ensure proper
communications are in place; Manages stored paperwork and manages
longer-term items for future work; Answers telephone with direct impact
to citizens, tracking and following up conversations and communicating
consistent responses to each citizen; Develops, implements, creates,
manages, reviews and summarizes miscellaneous reports, business cards
and other documents, memos, and letters using word processing,
spreadsheet, database and/or other presentation software such as
Microsoft Office, including Word, Excel, PowerPoint, Publisher, Print
Shop and Outlook; Assists with maintaining Cemetery records; Accurately
takes and prepares minutes at staff, committee and board meetings;
Maintains Webpages, Facebook, and other social media as needed; Informs
leadership quickly of emergency and/or critical situations; Assists the
City Managers Office, Finance, and other departments as needed; Performs
additional duties as assigned.
