Ithaca College ADMISSIONS SERVICES ASSOCIATE in Ithaca, New York

Job Summary:

Serves as the first point of contact for prospective students and their families engaging with the Office of Admission and provides information, referrals, and coordinate Admission activities pertaining to campus visits such as appointment schedules and campus tours. Perform a broad range of data entry and word processing assignments, assist with online application preparation, correspondence, travel support and special projects. Attend to office logistics as directed and perform general office duties as assigned.

Supervision:

This position reports to the Admission Services Coordinator. This position has no direct supervisory responsibility but may provide day to day direction and guidance to student assistants.

Job Responsibilities:

  • Greet prospective students and their families visiting the Office of Admission. Schedule prospective students and families to individual appointments, information sessions, campus & department tours in accordance with prospective student interests.

  • Assist in scheduling visitors to admission to include extended appointments, late arrivals, and walk-in visitor traffic. Assist with on-campus parking information and City of Ithaca information and refer visitors to appropriate Admission staff or other campus personnel as needed.

  • Assist with scheduling events and on-campus open houses for prospective students and families.

  • Provide information and serve as a resource throughout the college search and admission process for prospective students and their families, secondary school counselors and independent counselors.

  • Establish and maintain personal contact via, telephone, email and other communication vehicles with prospective students and families as well as with school counselors, alumni, and others who refer students to the college.

  • Data entry assignments to include event inquiries, admission applications and support documents for admission, and admission decisions. Perform scanning and indexing of documents in support of the admission applicants in a timely fashion.

  • Perform a variety of word processing functions to include editing and maintaining files and documents. Support a variety of prospective student letters from large production runs, including, but not limited to inquiry, application, and decision letters.

  • Assist with opening, processing, and distribution of U.S. postal mail to the Office of Admission.

  • Assist in maintaining documentation of procedures and processes to include data entry, scanning and indexing, and database procedures.

  • Develop and demonstrate a multicultural awareness and contribute to cultivating an inclusive, diverse, and respectful community. Demonstrate civil and inclusive behavior when interacting with staff, faculty, students, and visitors to the college. Promote a flexible, collaborative, and inclusive work and living environment and engage in educational opportunities to increase awareness and understanding of diversity and inclusion.

  • Execute responsibilities in a manner consistent with the service philosophy and orientation of the Admission Office.

Qualifications:

Associates degree with 2 years of related experience required or equivalent combination of education and experience. Excellent interpersonal, verbal, and written communications skills are required. Attention to detail and organizational skills are critical, as is the ability to work with a diverse student and parent population. Previous experience working with Microsoft Office Suite such as Word, Excel, Outlook, and other software applications; ability to handle multiple tasks and maintain a high level of customer service in a fast- paced environment; and the willingness and flexibility to work extended hours during peak processing times required.

Previous experience working with an on-line student information system and experience working in a College Admission Office or a reception environment preferred.

Work Environment:

This is a full time, hybrid position with remote flexibility available, negotiable. Attendance at admission programs during evening and weekend hours may be required. Most of the work of the incumbent is carried out within a generally accessible, safe, indoor environment. The incumbent will be required to operate a personal computer and associated equipment as well as other office equipment used in day-to-day operations. The incumbent may need to deliver various correspondences or other informational materials on campus requiring the ability to walk or drive or make other travel arrangements.

$17.45 - $18.50 per hour, commensurate with qualifications and experience.
