Coke Florida is looking for an Administrative Assistant based out of our Jacksonville location. We’re currently looking for first shift, working Monday-Friday 7am-4pm.

What You Will Do:

As a Coke Florida Administrative Assistant, you will be responsible for a variety of administrative and clerical tasks and activities to support a leader, team, or site location.

Roles and Responsibilities:

  • Interface with various stakeholders including senior to mid-level executives, associates, vendors, and customers with a high level of professionalism 

  • Coordinate meetings, travel arrangements and maintain multiple executive calendars 

  • Record meeting notes and action items, provide summary of meeting(s) to executive leaders 

  • Managing vendor invoicing and purchase order processes

  • Serve as backup to Associate Services Administrator with duties such as but not limited to associate onboarding, training

  • Create presentations, ad hoc reporting and confidential correspondence 

  • Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner 

  • Manage company data and record retentions process

  • Manage incoming and outgoing phone and email communications 

  • Maintain various databases and contact lists 

  • Prepare and submit expense reports including collection of receipts 

  • Foster and maintain strong internal and external professional relationships 

  • Partner with relevant departments and external partners to coordinate company sponsored events and/or projects

  • Professional demeanor coupled with a “can do” positive attitude

  • Proactive and resourceful with the ability to work independently 

  • Exceedingly well organized with the ability to prioritize conflicting demands

  • Ability to interact with all levels of staff in a fast-paced, multi-site business 

  • Ability to solve complex problems 

  • Must be able to maintain strict confidentiality at all times

For this role, you will need:

  • Minimum 5 years of experience as an Administrative or Executive Assistant 

  • Strong written and verbal communication skills required  

  • 5 + years of experience with calendar management, meeting coordination and making travel arrangements 

  • Must be technology savvy and highly proficient with Microsoft Outlook, Word, Excel and PowerPoint 

  • Solid business acumen and informed on current events in the business world

  • Strong project management, process improvement and event planning skills 

  • Must be available to travel as needed
