Sealaska Heritage Institute Education Program Coordinator - TCLL in Juneau, Alaska

Job Summary

Under the direct supervision of the Assistant Education Director, this position is responsible for providing support, coordination and administrative assistance for the Education program, t Koowaha: Expanding the Tlingit Culture, Language, and Literacy (TCLL) Program in coordinating and implementing educational activities and programs that align with the goals and mission of the grant and organization.

Duties/Responsibilities

  • Assist the Assistant Education Director in management of all aspects of the Education Departments projects and activities.
  • Assist in the coordination and implementation of program activities such as education programs for youth and educators.
  • Assist and maintain statistical data of education activities and program reporting.
  • Organize and manage education activities with program directors and provide regular communication with public about education programs and activities.
  • Provide support to Education Department in program development.
  • Act as part of a team/working group, which will plan, design, and implement family events in coordination with the TCLL Team.
  • Maintain files, data and reports and assist with development of administrative procedures for institutional record keeping.
  • Assist with organizing, coordinating and implementing biannual Tlingit language immersion retreat.
  • Draft contracts and track payments for program contractors.
  • Make program purchases following all documentation procedures.
  • Attend meetings and assist with note-taking, agenda creation and follow-up.
  • Monitor and assist TCLL Team with implementation of a variety of family events, including advertising, set-up and take-down. These mostly will occur in the evenings and/or weekends.
  • Assist TCLL Family Committee and Program Manager to ensure well attended family events and educator immersions or trainings under the program.
  • Collect attendance data and verify all data entered for grant reporting purposes.
  • Assist with creation and development of outreach to family in the promotion of TCLL events and meetings.
  • Manage purchasing data, order requests from teachers and tracking and delivery of purchases.
  • Diplomatically communicate with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization.
  • Act as a liaison with other departments and outside agencies in support of the TCLL program. This includes confidential and non-routine information and explanation of policies when necessary.

Required Skills

  • Excellent verbal, written, and interpersonal communication skills.
  • Ability to work well on own initiative and within a team.
  • Competent in project or event planning, project implementation and monitoring project objectives.
  • Proficient in computer applications, including word processors, spreadsheets, database software, and online survey applications.
  • Highly organized, self-motivated, and attentive to details.
  • Ability to work individually and ability to handle self-driven projects efficiently.
  • Knowledge of Alaska Native cultures, languages and a strong understanding of Indigenous culture and perspective.
  • Demonstrated ability to manage multiple projects and activities.

Supervisory Responsibility

This position will have no direct reports.

Work Environment

This positions duties are generally performed at the Walter Soboleff Building or adjacent Sealaska Building, sometimes work is offsite at the TCLL Program housed at Harborview Elementary. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

Physical Demands

While performing the duties of this job, the employee is regularly required to verbally communicate. This position is active and requires standing, walking, bending, kneeling, stooping, crouching, and climbing throughout the day. The employee must frequently lift and/or move objects up to 20 pounds and occasionally lift and/or move objects up to 50 pounds.

About this Role

This is a full-time benefited position. SHI employees are expected to work during SHIs regular business hours of 8:00am to 4:30pm Monday to Friday. Additionally, many employees may work up to 45 hours per week or additional time as needed to meet workload demands or special events such as Celebration.

Required Education and Experience

  • Two years of professional work coordinating and managing projects.
  • Associate degree (equivalent may be substituted).
