JOB REQUIREMENTS: Perform routine clerical and administrative functions
such as drafting correspondence, scheduling appointments, organizing and
maintaining paper and electronic files, or providing information to
callers. Answer telephones and give information to callers, take
messages, or transfer calls to appropriate individuals. Complete forms
in accordance with company procedures. Make copies of correspondence or
other printed material. File and retrieve corporate documents, records,
and reports. Open, sort, and distribute incoming correspondence,
including faxes and email. Compile, copy, sort, and file records of
office activities, business transactions, and other activities. Operate
office machines, such as photocopiers and scanners, facsimile machines,
voice mail systems, and personal computers. Answer telephones, direct
calls, and take messages. Communicate with customers, employees, and
other individuals to answer questions, disseminate or explain
information, take orders, and address complaints. Maintain and update
filing, inventory, mailing, and database systems, either manually or
using a computer. Process and prepare documents, such as business or
government forms and expense reports. Complete work schedules, manage
calendars, and arrange appointments. Compute, record, and proofread data
and other information, such as records or reports. Inventory and order
materials, supplies, and services. Review files, records, and other
documents to obtain information to respond to requests. Complete
employee paperwork, new hire orientation, separation paperwork,
backgrounds Arrange conference, meeting, or travel reservations for
office personnel. Compose, type, and distribute meeting notes, routine
correspondence, or reports, such as presentations or expense,
statistical, or monthly reports. Conduct searches to find needed
information, using such sources as the Internet. Create, maintain, and
enter information into databases. Develop or maintain internal or
external company Web sites. Establish work procedures or schedules and
keep track of the daily work of clerical staff. Greet visitors or
callers and handle their inquiries or direct them to the appropriate
persons according to their needs. Learn to operate new office
technologies as they are developed and implemented. Locate and attach
appropriate files to incoming correspondence requiring replies. Maintain
scheduling and event calendars. Operate office equipment, such as fax
machines, copiers, or phone systems and arrange for repairs when
equipment malfunctions. Perform payroll functions, such as maintaining
timekeeping information and processing and submitting payroll. Prepare
conference or event materials, such as flyers or invitations. Provide
services to customers, such as order placement or account information.
Review work done by others to check for correct spelling and grammar,
ensure that company format policies are followed, and recommend
revisions. Schedule and confirm appointments for clients, customers, or
supervisors. Set up and manage paper or electronic filing systems,
recording information, updating paperwork, or maintaining documents,
such as attendance records, correspondence, or other material. Supervise
other clerical staff and provide training and orientation to new staff.
Train and assist staff with computer usage. Use computers for various
applications, such as database management or word processing. Coordinate
conferences, meetings, or special events, such as luncheons or
