We are looking for an Administrative Assistant to support the Disney Experiences Legal team. You would be a crucial part of the team that provides legal support to Disney Consumer Products and the Walt Disney World Resort.
This role reports to the Assistant Chief Counsel, with support for additional attorneys and paralegals on the team.
What You Will Do
Manage and maintain complex Outlook calendars and contact lists, including scheduling meetings and calls across domestic and international time zones
Organize, file, and deliver digital and physical documents
Revise and redline documents (including within Word, Litera Workshare and similar applications)
Draft, revise, and maintain records of legal correspondence
Create visually engaging PowerPoint presentations from text only drafts
Format and convert PDFs, and create fillable forms in Adobe
Help handle the execution of legal documents via e-signature platforms such as DocuSign and Adobe Acrobat Sign
Maintain databases and files for the supported attorneys
Assist in the review, analysis and reconciliation of invoices and expenses billed by outside counsel and vendors
Handle highly confidential, critical information with discretion
Perform additional administrative tasks as needed, including but not limited to preparing expense reports, tracking projects and key dates, updating Excel spreadsheets (including data entry), answering phones, ordering supplies, and arranging travel
Required Qualifications & Skills
At least three years of experience supporting executives in a senior corporate or legal position
Strong proficiency with all types of computers, phones and office equipment; mastery of Microsoft Office programs including Word, Outlook, Excel, PowerPoint and Sharepoint, in addition to SAP, Confluence, Concur, and Adobe Acrobat
Advanced calendaring and word processing knowledge, including track changes, redlining, comparing documents, creating table of contents, table of authority and cross-references within large documents
Familiarity with document management and legal tracker platforms
Excellent written, verbal and interpersonal communication
Highly organized, attentive to detail, with strong proofreading skills
Initiative to learn the various business units supported by the Legal team and Disney processes and procedures
Preferred Qualifications
Experience at The Walt Disney Company
Experience working in a large law firm or public corporation, particularly within a legal department
Familiarity with NetDocs and Serengeti Legal Tracker a plus
Bachelor’s degree preferred
