Location: Lake Mary, FL

Position Overview

The Data and Project Coordinator (internally titled Facilities Project Coordinator) will be a point of contact for facilities-related issues as well as provide assistance to the facility management team as needed. Primary duties will include assisting with the day-to-day facilities operations of the Lake Mary office. In addition, this candidate will support the enterprise facilities team with data reporting, general forecasting, responding to work orders, invoice management, equipment maintenance and vendor management reporting. The successful candidate will have experience supporting, manipulating, and updating Excel based reports. Strong customer service skills and proficiency in (Excel/PowerPoint/Microsoft/Ariba (SAP)/ NetSuite (Oracle) are required for this position.

Responsibilities

  • Tracking capital projects.

  • Maintain labor headcount reports.

  • Create and support Excel based facilities reports.

  • Other ad hoc analyses and report modeling upon request.

  • 50% of the job will be facilities administration reporting.

  • Develop and organize invoice tracking data for multiple locations.

  • Willingness to learn facilities operations support tasks.

  • Resolve problems associated with all building services including janitorial, food service, coffee services, parking, vending, conference rooms, cubes, as well as interior and exterior furnishings, fixtures, and equipment.

  • Manage and coordinate work with 3rd party vendors including tracking work order completion, vendor and client follow up, and ensuring high service levels are achieved.

  • Assist with ensuring facilities team’s goals and objectives are met.

  • Collaborate with facilities team members on maintaining and updating floorplans/office moves.

  • Recommend continuous quality improvement practices.

  • Coordinate and/or assist with special events, set up, tear down, supply ordering.

  • Provide support for meetings and conference room reservations as needed.

  • Provide facility specific assistance to the project management team as needed.

  • Serve as a liaison between employees and the engineering staff called in to fix problems.

  • Stock office supply areas.

  • Assist with moves of furniture and equipment.

  • Respond to internal and external clients inquiries and concerns.

  • Follow up with clients to ensure customer satisfaction.

  • Assist with site inspections (related to fire department, buildouts, etc.)

  • Flexible schedule.

  • Other duties as assigned.

Requirements

  • Bachelor’s degree preferred.

  • 2-3 Years experience developing, manipulating, and managing Excel based reoccurring reports.

  • 1 year project management support experience that demonstrates ability to track, drive and report on the status of multiple projects simultaneously.

  • Accounts payable background preferred.

  • Must be able to lift a minimum of 40 lbs.

  • Strong written and oral communication skills

  • Proficiency with Microsoft Office programs; excel, word and outlook.

  • Ability to stay organized while overseeing multiple initiatives and work well in a fast-paced environment.

  • Strong customer service background and experience.

  • Team Player, collaborating with others to make awesome happen.
