Description: The Office Coordinator will support the daily operations and office activities for ImageTrend, including assisting with day-to-day onsite interactions with clients, team members, executives and other visitors at our headquarters, and other general administrative tasks. This role helps ensure a smooth and efficient experience for both facilities and general operations and we're looking for a collaborative, proactive, and highly organized individual with great attention to detail. Our Office Coordinator will be onsite 5 days a week with occasional flexibility for remote days, and will also need to be friendly, inviting, agile & eager to learn so we can continue to improve on existing processes. What You'll Do: * Work closely at the office with assisting the Executive Assistant to ensure positive onsite experiences for those visiting or working from our corporate headquarters * Coordinate and work cross-functionally as needed to assist with planning and execution for corporate events * Help maintain the calendar and communication between guests and internal team members * Assist with hospitality coordination and managing experiences for guests and employees who are in-office * Support office logistics, including travel coordination assistance, shipments & deliveries, office supply inventory management, and other tasks as required * Provide administrative assistance with corporate programs, vendor relationships, expense reports and other coordination tasks as needed * Route communication and coordinate with building and facilities for operational needs, including repairs, services, janitorial or other maintenance, security, safety & other follow-ups as necessary * Provide back-up assistance for reception or other office needs as required and help with special projects or requests * Additional travel to industry or company events, and other offsite meetings as required * Additional duties as assigned Requirements:* Degree, coursework, certification or other professional development program towards business or administration preferred, or the equivalent combination of education and experience * Some experience in or exposure to administration, reception, or other general back-office coordination work * Strong customer service, interpersonal and communication skills, both written and verbal * Ability to be a proactive self-starter and work independently within a highly collaborative and team-oriented environment * High attention to detail and analytical, problem-solving and critical thinking skills * Time management skills, self-motivation, and the ability to succeed and adjust to changing priorities in a fast-paced environment * Strong technical aptitude to learn new systems and knowledge of MS Office Suite, Adobe Acrobat or other similar tools * Ability to maintain discretion when handling proprietary and confidential information * Enthusiasm for learning and expanding knowledge or skills * Strong work ethic, integrity, honesty, collaboration and team orientation * Ability to work in-office 5 days a week as required, or hybrid as allowed * Ability to travel up to 10% annu lly Benefits and Growth: * Outstanding compensation package * Medical, dental, vision, and life insurance * 401(k) matching * Paid Time Off * Occasional hybrid work flexibility available * Perks in the office such as snacks, tap beer, and ping-pong * The ability to do meaningful, challenging work on a fun and collaborative team For applicants that reside in the following states, California, Colorado, Connecticut, Nevada, New York, Rhode Island, or Washington Residents, please contact careers@imagetrend.com for salary range information.
