Hours of work may vary dependent upon situational factors. emergencies, and crisis management requiring evening(s), weekend(s), and holiday(s) response.
Job Summary
Reporting to the Facilities Financial & Business Services Director, the Administrative Staff Officer IV oversees Facilities Management Campus and Utilities & Energy Management financial processes and reporting data in SAP on a daily, weekly, monthly, and year-end basis; prepares monthly Procard Report/charts; prepares monthly Overtime Report/charts; prepares monthly Recycling/Surplus Report; processes and logs all check/cash receipts; oversees Campus Utilities & Energy Management staff position management and maintains record system; informs and trains Campus staff members in financial management as well as on new and/or revised University and Business Office policies and procedures as necessary; and collaborates with University General Accounting to set-up Plant Funds for projects as well as project scope changes.

In addition, this position participates in the preparation and overall consolidation of the Facilities Management Campus and Utilities & Energy Management Annual Budgets; oversees respective service center rate calculations as part of the Fiscal Year Budget Planning Processes, including salary/merit increase proposals; enters data into University systems via SAP; prepares Budget Transfers and Budget Revisions; reconciles salaries/expenses with SAP; prepares and produces various budget related reports for the University Budget Office, as requested; oversees Facilities Campus and Utilities & Energy Management Business Office Year-End processes, including: prepares Campus Year-End Processing and Payroll Memo to staff; identifies and initiates Campus Business Office Year-End Task Management Assignments; and reviews completed work for overall quality, accuracy, and compliance with University and other statutory regulations; and collaborates with University Accounts Payable regarding Year-End Accruals.

Demonstrated financial acumen and/or analytical experience delivering forecasting; budgeting; variance analysis; and data interpretation of results.
