The Admin Assistant is an administrative support position responsible
for greeting all visitors to the company and routing them to the
appropriate company representative, answering a multi-line telephone,
taking accurate messages, scheduling appointments, filing, photocopying
and other clerical duties. Additionally, the incumbent will have regular
access to sensitive information and must therefore be able to
demonstrate professional discretion and maintain confidentiality at all
times.

ACTIVITIES/TASKS/SCOPE
Receive and screen guests and visitors to the office with the highest
professionalism and courtesy;
Provide information as allowed by the company;
Answer all incoming calls and forward or direct them to the proper
office or person in the company;
Assist administrative/clerical staff in maintaining office files and
records;
Perform other clerical and administrative tasks as may be assigned;
Send, receive and distribute faxes for the company;
Manage incoming and outgoing mail and deliveries;
Perform document management (reproduction, binding, collating,
laminating, shredding and filing);
Prepare and send overnight deliveries; and,
Perform such other duties as are assigned.
OTHER DESIRED COMPETENCIES
Ability to work office hours of 8:00 a.m. to 5:30 p.m., Monday through
Friday as needed;
Ability to establish and maintain effective working relationships within
a matrix reporting structure;
Ability to manage a medium sized switchboard, voice mail system and
telefax;
Ability to understand and follow written and verbal directions;
Communicates effectively on the phone and with on-site visitors and
clients; and,
Possesses excellent verbal and written communication skills in the
English language.
EDUCATION/EXPERIENCE
High school diploma or its equivalent
