How will you make an impact in this role?
Global Merchant and Network Services (GMNS) Finance supports the GMNS business through financial analysis of business performance and management of the P&L. This role will provide administrative support to two Vice Presidents in the GMNS Finance organisation [1 VP based in London and 1 VP based in NY]. Both VPs lead international teams across EMEA, APAC, Latin America, Canada & the US.
An ideal candidate should be eager to learn about the function and willing to take on new assignments related to the teams being supported. This role is based in London and will also work in close partnership with the GMNS Finance EA and DA based in NY.
Responsibilities:
Responsible for calendar and meeting management on a daily, weekly and monthly basis, involving coordination with multiple parties and including generation of reminders to ensure deadlines are met
Manage logistics of meeting administration (e.g., documents, video conferencing, Live Meeting, and other logistics)
Event management including arranging on/off site/virtual meetings, whether ad hoc or regular including organizing quarterly team-building activities for the team
Manage IDs, access, payroll, time keeping and submissions for the team
Office administration (e.g., ordering computers, equipment, supplies, and liaising with tech support as needed)
Maintain headcount reporting, organizational charts, and department email distribution lists
Manage domestic and foreign travel arrangements including air, hotel, car transfers and meeting agendas
Ensure timely preparation and processing of expense reports and invoices; review expenses submitted to leader for approval and highlight any out of policy spend
Coordinate facilities management responsibilities
Manage general follow-ups and generate reminders to effectively meet deadlines and commitments
Support ad-hoc projects and initiatives as requested
Communicate effectively with all team members and key partners of all levels and work closely with the other executive assistants on office operations
Continually learn and act as knowledge resource for company administrative processes and policies
Demonstrate leadership and exemplify collaboration with other Executive Assistants in NY and provide back-up support for the GMNS Finance CFO if needed
International time zone management
Occasionally supporting senior executives visiting from abroad or as needed
Minimum Qualifications:
Significant years of previous experience as an Executive Assistant to a senior leader and familiar with office management and technologies
Excellent written and verbal communication skills (email, phone, in person)
Strong sense of integrity and the ability to exercise discretion and confidentiality with sensitive information
Motivated, proactive team player with strong time management, organizational, administrative and interpersonal skills
Strong attention to detail with an emphasis on accuracy, quality, timeliness, follow through and sense of urgency in executing
Must work well under pressure without losing composure and professionalism
High level of proficiency using MS Office including Word, Excel and PowerPoint, as well as internal AXP (or related) tools and systems – phone functions, MS Outlook, Ariba, Concur, Payroll and My Info - comfortable adapting to new technologies
Knowledge of AXP policies and office procedures
Ability to work effectively and flexibly with others and to build trusting relationships across the company
Proven ability to manage multiple priorities, work independently, work within deadlines in a fast-paced, dynamic environment and execute across multiple initiatives/tasks
Ability to interact effectively and diplomatically with executives and Executive Assistants across the organization
Ability to communicate comfortably and credibly with all levels of management, associates and external business contacts
Ability to proactively identify and resolve issues, desire to take initiative and ownership, plan ahead and see things through to timely completion
